FIELD PACKAGE SALES MARKETING COORDINATOR

SUMMARY
The primary objective of the FPS Marketing Coordinator is to maintain databases of all FPS opportunities including mobile events, permanent and semi-permanent locations and ensure that all are accurately accounted for in Diamond’s Atlas and Clarity systems.  He/she will be the point person to steward various processes throughout the company including contracts, payments, creative development, accounting and IT.  During key times of the year, he/she will provide event management support for the Brian Gay Invitational.
 
ESSENTIAL JOB FUNCTIONS
 

  • Maintain a database and calendar of all mobile events, permanent and semi-permanent marketing opportunities including production, promoter performance and environmental factors.
  • Track results from the field and reconcile with those reported in Diamond’s Atlas and Clarity systems.
  • Track all purchases and deployment of fixtures, equipment and marketing materials.
  • Ensure all contracts and payments to vendors are processed on a timely basis.
  • Communicate with marketing managers and field supervisors on an ongoing basis to ensure that all events are on schedule and provide key administrative link to home office.
  • Create and submit and track FPS creative needs beginning with the ePRF process.
  • Own the process for building new mini-vacation packages and maintain a database of packages including results and activity.
  •  Provide executive support to the Vice President of National Marketing, the Director of Field Packages Sales and Regional Marketing Managers.
  • Perform administrative needs for Brian Gay Invitational and other unique marketing initiatives for the National Marketing Division.
  • Interact with accounting, legal, payroll, HR, IT, project management and regional sales and marketing teams.
  • Provide superior customer service in accordance with the Company DRIven to Excellence standards.
  • Consistently practice the Meaning of Yes® and maintain the highest standards of professionalism when interacting with fellow team members, management, owners, members and prospects.
  • Operate general office machinery (i.e., computer, copy machine, fax machine).
  • Perform other tasks both administrative and analytical as deemed necessary.

QUALIFICATIONS
 
Required:

  • Bachelors degree from accredited college or university
  • Previous experience in corporate setting in sales, marketing or finance capacity
  • Aptitude to learn and extract data from enterprise database and accounting systems
  • Computer proficiency in Microsoft Word, Excel and Outlook.
  • Team spirit and ability to thrive in a dynamic fast paced environment under tight deadlines.
  • Must be able to take direction from Management and adjust to company’s needs.
  • Operate office machinery (i.e., computer, copy machine, fax machine).
  • Detail oriented.

  • Preferred:
  • Experience in event planning and organization
  • Previous experience in the vacation ownership or timeshare industry.
  • SKILLS
  • Highly self motivated and superb organizational skills.
  • Proven ability to prioritize and complete multiple and concurrent projects with minimal supervision.
  • Ability to prepare and analyze basic financial results and review accounting reports
  • Background in project management with extreme detail focus.
