Perform duties to evaluate show staffing requirements, schedule inside and contract technical staff and labor, prepare, maintain and issue show and Technician’s schedules, and update Technicians and relevant departments as to changes, working in the limits of established policy. Act as primary contact for arranging travel logistics for show events.
•Generate, maintain, and issue additions and changes to labor database. Revise and update labor database with new show information including, locations, shipping, travel, and other data, as required. Rearrange Technicians’ show assignments according to show agenda changes, location to location travel possibilities, skill requirements, and client requests. Act as an on-call contact for show and Technicians’ schedules to receive and communicate information changes.
•Track qualifications of on-staff Show Technicians and Master Show Technicians as communicated by Technical Services Managers and others. Evaluate freelance Show Technicians’ skills and suitability based on resume, interview, input from Technical Manager, and reference check data. Determine Show Technicians assignments to designated shows based on current schedules and technical skills. Determine when to schedule employees versus freelance personnel based on skills, location, schedules, client preferences, and similar factors.
•Act as the company’s contracting agent for independent labor resources. Determine desired amount of outside labor, negotiate and confirm agency contracts for labor, and generate purchase orders and confirmation sheets for all outside labor for shows. Prepare reporting schedules and show packages and issue to assigned Technicians. Process all labor invoices, maintain freelance database, and establish new freelance contacts.
•Research and confirm travel logistics with appropriate authorization, prepare independently or work from travel request form, obtain pricing for all travel elements, and obtain approval.
•Generate and maintain travel profiles for client arranged travel logistics.
•Evaluate venue requirements, technical considerations, and labor issues to interpret and fulfill labor requirements for shows, recommending alternatives as appropriate.
•Communicate all travel details to Technicians, Show Assistants, Schedulers, Account Executives, etc.
Position Requirements
•1 year of prior Travel/Scheduling or equivalent experience.
•Ability to problem-solve, communicate effectively, plan, and organize.
•Have good adaptability and dependability skills.
