Contracts Supervisor

SUMMARY

The Contracts Supervisor supports Central Contracts in the daily responsibility to produce accurate and timely Diamond Resorts International® contracts to its clients.  The Supervisor supports Diamond Resorts International® and its management in upholding all company and department policies and procedures.  The Supervisor communicates with other departments and management to resolve problems and expedite work.

RESPONSIBILITIES

  • Assist with the oversight of daily operations of the department.
  • Perform data entry of legal contracts between the company and its clients.
  • Retrieve credit, loan and account history on prospective clients.
  • Review contracts created by Contract Specialists for accuracy, following up with the sales sites for corrections and recording errors found.
  • Scan documents for archiving and electronic delivery.
  • Process sales contracts as needed.
  • Communicate with sales sites and other corporate departments via email and telephone.
  • Assist with training and coaching of team members.
  • Perform miscellaneous data entry and document preparation in support of other departments.
  • Provide superior customer service in accordance with the Company DRIven to Excellence standards.
  • Consistently practice the Meaning of Yes® and maintain the highest standards of professionalism when interacting with fellow team members, management, owners, members and prospects.
  • Operate office machinery (i.e., computer, copy machine, fax machine).
  • Perform other duties as assigned.

MANAGEMENT/SUPERVISORY RESPONSIBILITIES

Contracts Specialists.

QUALIFICATIONS

Required:

  • Three (3) years experience in the timeshare industry or similar field.
  • One (1) year supervisory experience.
  • Knowledge of timeshare contracts law.
  • Computer proficiency in Microsoft Word and Outlook; advanced proficiency in Excel.
  • Ability to lead and mentor a team.
  • High School diploma, GED or equivalent.

  • Time management; the ability to organize and manage multiple priorities.

  • Detail oriented.

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED

Notary Public license preferred.

ESSENTIAL FUNCTIONS:  PHYSICAL & ENVIRONMENTAL DEMANDS

  • Occasionally required to walk; sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; balance; stoop; talk or hear.
  • Must occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
  • The noise level in the work environment is usually minimal.
  • Able to work a flexible schedule that may include extended hours, evenings, weekends and holidays.
