SALES AND MARKETING ADMINISTRATION MANAGER

SUMMARY:

The Sales and Marketing Administration Manager oversees the operations of the timeshare sales and marketing efforts at designated locations. The Manager assists the sales and marketing management teams in the implementation of projects and programs. The Manager also oversees the site Tour Reception, Child Care, Administrative Staff, and Gifting Operations.


RESPONSIBILITIES:

  • Assist the Vice President of Sales and Marketing Directors and the management teams in departmental sales execution and communications. 
  • Assist with departmental memos, letters, update and maintain all sales and marketing related SOP's. 
  • Client customer service matters: inbound calls to the sales offices. 
  • Coordinate information for sales and marketing contests and training. 
  • Assist with Concur reimbursement requests (as a delegate) for the Vice President of Sales, Marketing, Directors and other management where needed. 
  • Sales and Marketing reporting and distribution. 
  • Prepare sales agent stats on a weekly basis for rotor assignments. 
  • Special sales analysis and reports as requested by sales and marketing management. 
  • Coordinate the complete of Sales and Marketing reports as per deadlines set by the National Reporting Department. 
  • General office duties to include but not limited to ordering office supplies, equipment, outgoing mail processing, distribution on inbound sales and marketing mail, keep all POS forms stocked and updated, prepare and process check requests and vendor set-up for sales, call for copy machine repair, work with IT, Maintenance, Housekeeping and F & B as needed. 
  • Assist in the compiling of, with the Broker and/or Human Resources, documentation for Issues and Reporting that include but are not limited to the following: PAF's and Attendance and schedules for the Sales and Marketing team members. 
  • Assist in the research of payroll discrepancies for the Sales team and process via Payroll. 
  • Assist in the New Vacation Counselor Hire Process: 
  • Facilitate the new hire process for the Sales department to include, but not be limited to, weekly tracking and reporting deadlines, new hire approval requests, setting appointments for the Broker and Human Resources Generalist to complete all required new hire and licensing documents. Coordinate with the training department to ensure training is scheduled appropriately. 
  • Ensure that all Sales collateral are updated. This will include the phone list, rotors, pager listings, etc. Submit the following for each new hire: E-mail setup, business cards, DRI Uniforms with gift acknowledgement forms. 
  • Assist communication that stems from our Sales and Marketing VP's and Human Resources to the site leaders to distribute or to ensure compliance of memos, training, etc. 
  • Assist or head major projects regarding installation and/or renovation of sites to ensure completion and quality for each project. 
  • Enter approved sales and marketing spiffs into system for Manager Approval. 
  • Perform other duties as assigned by manager/supervisor. 
  • The Manager oversees the site Tour Reception, Child Care, Administrative Staff, and Gifting Operations. 
  • Manage all sales and marketing administrative team members including, but not limited to, recruitment, training, scheduling, motivating, coaching, counseling, payroll submission and terminations. Prepare and/or submit all necessary new hire, personnel changes and termination paperwork to Human Resources in a timely manner.

QUALIFICATIONS:

  • Five (5) years executive-level administrative experience. 
  • Two (2) years Management experience. 
  • Computer proficiency in Microsoft Word, Excel, PowerPoint and Outlook. 
  • Ability to lead & mentor a team. 
  • High School diploma, GED or equivalent.

PREFERRED QUALIFICATIONS:

  • Previous experience in the hospitality or timeshare industry.
