SUMMARY DESCRIPTION OF POSITION
Under the general direction of the Global Partnerships Project Manager, plan and perform a wide variety of administrative duties and solve complex problems in an established field in a fast paced office environment under frequently changing conditions. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. 
•    Work with Partnership's Project Manager to understand priorities, ongoing projects, and other assignments as they relate to deadlines. 
•    Assist with certain aspects of scheduling, including preparation, notification and coordination of a variety of meetings, and conferences.
•    Participate in meetings and committees as assigned; take notes as needed, also compose and properly handle a variety of correspondence, agendas, memoranda, reports, notes and other materials.
•    Maintain integrated filing system in conjunction with JFP protocol for all e-mail files, electronic files stored on computers, and all related paper files, media, archives, etc.
•    Confirm, enter and update travel information (domestic and international, including visa requests), and assist with trip preparation including presentations, printing of documents, uploading material to storage devices and post trip follow-up.
•    Collect, import and update Partnership database of contact information.
•    Maintain financial account balances and monitor expenditures of funds. Provide clear and organized reports as needed.
•    Provide information in accordance with internal policies and procedures protecting confidentiality.
•    Learn to interpret, apply and explain rules, regulations, policies and procedures.

•    Modern office practices, procedures and equipment.
•    Correct English usage, grammar, spelling, punctuation and vocabulary.
•    Oral and written communication skills.
•    Ministry organization, operation, policies and objectives.
•    Interpersonal skills using tact, patience and courtesy.
•    Principles and practices of administration and training.
•    Intermediate personal computer operation including word processing, spreadsheets, and database management. 
•    Basic research methods.
•    Editing and proofing skills.
•    Communicate effectively both orally and in writing.
•    Analyze situations accurately and determine an effective course of action.
•    Plan and organize work, determining priority of multiple projects at once.
•    Perform a wide variety of complex administrative and secretarial duties with high degree of speed and accuracy.
•    Type at 60 words net per minute from clear copy.

EDUCATION and/or EXPERIENCE

Any combination equivalent to 2-3 years college level course work in business administration and related field and at least three to five years experience in an office management or administrative positions of increasing responsibility including advanced level computer applications and willingness to learn the technical aspects of the position.
