SUMMARY:
This role will support some of the functions of Jesus Film Project’s major donor conferences and events.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Processes registrations for all guests attending events (briefings and forums). This role is the primary contact for the JESUS Film Project to the major donors and to the hotel/resort for rooming.
2. Coordinates all invitations, RSVP forms and other correspondence lists. This is a key role which requires a close ‘team” working relationship with the Events & Strategies Manager and the On-Site Coordinator.
3. Assists in creating and editing invitation packages, RSVPs and “save the date” postcards to be sent to donor, along with managing and creating new events by setting up on-line registration using Ministry Sync database as well as manages database for mailing of all invitations and postcards.
4. Create and manage rooming list for hotel.
5. Prepare for registration by ensuring necessary supplies and forms are created and delivered. This may also involve overseeing of other on site event staff members helping with the briefing.
6. Audits final hotel/resort invoice for accuracy of rooming charges, forwarding final invoice to Events & Strategies Manager for approval.
7. Assists Events & Strategies Manager and Event/On-Site Coordinator with choosing and arranging hotel/resort set up, including site visits.
OTHER FUNCTIONS (Non-essential):
• Open and close databases before and after events
• Help in establishing budget costs for rooming needs at briefings
• Coordinate setup and tear down of office during events
• Serve as conduit for information after registrations received and changed
• Coordinate the select process with Cru for creating the invitation lists
• Participate in the Christmas Calling Campaign, completing required amount of calls
• Assist the Events & Strategies Manager with other responsibilities, as requested
KNOWLEDGE/SKILL & ABILITIES:
Intermediate working knowledge of:
• Microsoft Office products (especially Word, Excel)
• Ministry Sync
• WESS
• Gold Mine
• Work with people under stressful situations with kindness, humility and patience (provide good customer service, especially to major donors)
• Handle many details (excellent organizational skills)
• Handle stress and long hours on your feet at the events
• Plan ahead and for future events (working on as many as 3 different events at one time)
• Use strong communication skills to assertively communicate our needs to hotel coordinators
• Be flexible to handle last minute changes and resourcefulness to meet needs and challenges
• Work with all types of personalities with a servant’s heart
• Use correct English usage, grammar, spelling, punctuation and vocabulary
• Lift up to 30 pounds
• Travel 6-7 times per year or as needed
EDUCATION and/or EXPERIENCE
• Bachelor’s degree or equivalent experience in event management, or similar field
• 3 years of conferences/events/hospitality/development experience preferred
