Performs administrative duties and other assigned functions for the President and the executive management team. Also provides support for HR and Marketing teams. Reports directly to President.
Essential Functions:
Provides confidential administrative support to the President and the executive management team.
Responsibilities may include screening calls and incoming mail and other correspondence, maintenance of the President's daily appointment calendar; makes travel and lodging arrangements as required.
Assists the President in all aspects related to the Board of Directors and Committee meetings.
Prepare meeting minutes, filing as needed, and perform other related duties as assigned. This includes coordination of policy review calendar; making sure that policies due for Board review are reviewed internally and submitted for the appropriate Board meeting. May also include providing clerical support to Board or Committee members.
Composes letters and memoranda from dictation, verbal direction or from knowledge of organization policy or procedures; edits written communications from word processing documents; may create or edit electronic presentations in Power Point or similar software programs.
Collects and prepares information for the President's use in discussions and meetings with other credit union managers, employees and outside individuals. Includes preparing or assisting in the preparation of assigned reports including financial reports, marketing reports, compliance reports or other. Prepare and catalog weekly and monthly meeting minutes.
Handles meeting arrangements and other special events (i.e., Annual Meetings, luncheons, employee meetings including a meal, sponsored lunch and learn events, etc.) held at the credit union which includes coordination with vendors and other internal personnel. May include making travel arrangements for vendors and/or credit union management/staff.
Assists with Vendor Management Program. This includes NCUA’s Due Diligence process, monitoring contract initialization process and expiration dates and filing all supporting documentation.
Assist marketing and business development efforts by organizing and delivering enrollment or collateral materials to departments, branches or outside businesses with which the credit union is affiliated. Also provide support with marketing media including social media, newsletter content, and outside advertising content as directed. Will be responsible for some member communication utilizing media such as credit union website and newsletter.
Skill Requirements:
Two years to five years of similar or related experience.
A two year college degree or Completion of a specialized course of study at a business or trade school.
Excellent organizational and editing skills; typing skills utilizing Word at or above the 75 percentile in speed and 90th percentile in accuracy; proficient with spreadsheets; shorthand a plus. Requires strong computer and internet research skills. Project coordination experience beneficial.
A significant level of trust and diplomacy is required, in addition to normal courtesy and tact. Work involves extensive personal contact with others and/or is usually of a personal or sensitive nature.
Work may involve motivating or influencing others. Must be flexible and able to work with all levels of internal management and staff, as well as outside vendors. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary.
