Summary:  Functions of this position involve administrative assistance, office management and customer service and logistics as well as basic accounting duties. Requires previous logistics experience in an industrial environment.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Logistics

Coordinate inbound and outbound shipments

Review invoices for product, freight payments, and warehouse and brokers services.

Interact with customs broker.

Sales

Assist in the preparation of marketing material and communiqués with industry magazines.

Procurement

Interact with France to coordinate and ensure proper and timely product delivery.

Customer Service Management

Provide positive and proactive customer service.

Receive telephone calls regarding orders, customer service and product inquiries.

Take ownership and manage order fulfillment process; review, analyze and process orders

Implement and verify pricing as directed by management

Coordinate sample orders and preparation.

Perform crucial liaison duties between customer and sales

Administrative assistance

Provide general administrative assistance, scheduling appointments and making reservations/travel arrangements, filing, faxing, copying, answer dept. phones.

Support Director of Sales with day to day activities

Provide support, including word processing, spreadsheets and customer information database as requested.

Assist in mailings, research and gather market information.

Supervisory Responsibilities

This position has no supervisory responsibilities.

Sales (limited) the individual needs to be able to discuss with customers and present company and products.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required. 

Education and/or Experience

Bachelor’s degree (B.A.) or equivalent; Office Administration related experience and/or training in sales, logistics and Customer Service a plus; or equivalent combination of education and experience is desirable. 

Language Skills

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or government regulations.

Ability to prepare reports, business correspondence, and procedure manuals.

Preferred knowledge of French and/or Spanish

Mathematical Skills

Have the ability to work with mathematical concepts such as probability, statistical inference, and basic calculus concepts.

Reasoning Ability

Ability to define problems, to collect data, to establish facts, and to draw valid conclusions. 

Computer Skills

To perform this job successfully, an individual should have knowledge of Microsoft Outlook, Microsoft Excel Spreadsheet; Microsoft Word and PowerPoint and other Windows applications XP as well as Quick Books,.  

Other Skills and Abilities

Self-starter. Prior administration, logistics/customer service or sales experience preferred in food or food ingredient industry. Import and export experience a plus. Understanding of product margins, profitability and basic financial instruments. Good communication and organizational skills.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

While performing the duties of this job, the employee is regularly required to sit for prolonged periods of time; use hand-eye coordination and manual dexterity sufficient to operate standard office equipment.  Requires hearing within normal range for telephone use.
