Job Title:  Payroll Specialist

Summary:  Processing multiple payrolls using various reporting methods from varying client companies/industries, using great care and detail to ensure accuracy.  Screens client’s incoming calls and handles payroll administrative duties while working closely with the payroll team to provide exceptional service to our clientele. 

Essential Duties and Responsibilities include the following.  Other duties may be assigned. 

Answer incoming calls - Speaks with customers by phone or in person regarding payroll and other related areas.  Review the employee history and accurately answer the employee’s questions and concerns.

Processing of payroll using various methods, including check printing, packaging and shipping in accordance with internal quality control procedures.

Setting up of garnishments to appropriate employee(s) for proper compliance.  

Data entry of new hire packets and follow up with clients for missing paperwork.

Set up new hire files and process other administrative duties including changes for addresses, tax withholdings and direct deposit. 

Explain client communications in an understandable manner.

Interview employees concerning reporting errors and take appropriate action.

Satisfy agreed upon customer expectations and measurements for on-time and complete tasks, communications, and problem resolution for assigned client(s) and drive improvements.

Strongly link to internal support functions to coordinate flawless execution and delivery of client specific special packages (payroll).

Verify accurate counting of payroll items and preparation and ensure timely production and inventory are available.

Manage all allocations according to client requirements, including understanding the particular scenario, communicating and distributing to client and providing support internally to manage the allocation needs.

Provide support and resources to key roles and producing the highest committed level of client satisfaction.

Adjusts complaints concerning billing or service rendered, referring complaints of service failures to designated departments for investigation and resolution.

File paperwork associated to clients new hires and their payroll.

Qualifications:

Education/Experience:

One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization.

Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills:

To perform this job successfully, an individual should have proficient knowledge of Microsoft Office software; Payroll systems; Internet software and Human Resource systems.
