Description:
Responsible for bookings of 25 peak night rooms or less, including but not limited to, the coordination, all sales-related activities, including direct sales efforts, follow-up, and proper sales administration. The Sales Manager is also responsible for acting directly with the client and hotel operating departments to ensure a successful meeting and to generate repeat business. He/she is also responsible for growing existing accounts with in this size and scope, and generating new business to ensure that room revenue and catering revenue meet or exceed budget in order to maximize revenue and profits and to improve the hotel's performance in the marketplace. Perform support duties to the Director of Sales to assist in smooth operations of the Sales Department.

- Attend monthly all-employee meetings and any other functions required by management.
- Attend weekly revenue meetings and sales meetings as required by management.
- Attend weekly staff meeting and provide training on a rotational basis, using steps to effective training according to Turnberry Associates standards.
- Develop a full working knowledge of the operations of the hotel, including Food and Beverage, Front Office and Reservations to support the administration of groups.
- Develop a complete knowledge of company sales policies.
- Meet or exceed set call goal and annual room night and banquet revenue goals.
- Operate within established sales expense budget.
- Maintain and participate in an active sales solicitation program.
- Maintain a professional working relationship and promote open lines of communication with managers, employees and other departments.
- Meet and greet onsite contacts.
- Abide by Prime Selling Time (PST) 10am-12pm and 2pm-4pm, and ensure compliance by Sales Team.
- Maintain strong visibility in local community organizations.
- React to negative trends in market place by implementing blitzes or catering promotions.
- Handle inquires as part of daily activities.
- Assists DOS in all administrative aspects.
- Coordinates meeting set-ups and performs minute taking, transcribing and distribution meeting minutes.
- Performs telephone duties which require answering telephones, messages, forwarding calls to appropriate person, assisting caller in resolving questions, using standards of service.
- Politely and professionally converse with clients. Respond to inquiries with accurate information and record in all relevant files. Promptly respond to requests for information on hotel facilities and menus.
- Copy, fax and email necessary documentation for clients and hotel use.
- Coordinates and delegates distribution of incoming and outgoing correspondence to in-house, Turnberry Hospitality, and other areas.
- Assists in organizing trace system to ensure all correspondence memos reports are completed, distributed properly and on appropriate time schedule.
- Handles individual requests for VIP clients. Ensure that all arrangements, including upgrades, are handled properly, coordinating with other departments through oral and written instruction.
- Maintain accurate, necessary payroll records, time sheets and distribute to finance in timely manner. Monitor and order necessary office supplies for department. Maintain filing system in accordance with company standards. Log pertinent account information in files. Maintain necessary copies of contracts and correspondence in orderly and accurate manner. Maintain current files and contracts for 5 years in accordance with Turnberry Hospitality minimum standards.
- Other duties and responsibilities as assigned.
- The employee may be expected to work in other areas of the hotel when needed to assist operations to perform job duties not necessarily contained in this job description.
- Maintain a safe work environment for co-workers and a safe hotel for guests
- Maintains strong influence within all hiring, training, performance evaluations, discipline and/or termination decisions.
- Responsible for receiving, processing and investigating complaints made per the existing harassment policy.


Required Experience:
- Previous experience in administrative role and/or hotels preferred
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
- Ability to communicate, verbally and in writing, effectively with guests and co-workers; respond to guest requests, with high level of patience, diplomacy and tact
- No special licenses or certificates required
- Strong organizational skills with attention to detail
- Ability to operate computers to include MS Office suite software and calculator
- Typing proficiency at 75-100 wpm
- Telephone etiquette skills needed
- Ability to follow written and/or verbal instructions
- Ability to stand and/or sit and continuously perform essential job functions for duration of shift
- Ability to set-up and maintain filing systems
- Maintains professionalism at all times, demonstrating courtesy and respect to guests and co-workers
- Must be available for evenings and weekends for business reasons including attending business/social functions, entertaining clients and oversight of sales & catering client bookings and events.


Required Education:
2-4 Year College degree in business related major
