Job Title: Accounting Specialist
Department: Finance
Reports To: Accounting Manager
FLSA Status: Non-Exempt
DUTIES AND RESPONSIBILITIES:
The Accounting Specialist performs a variety of accounting tasks and functions in compliance with GAAP and regulatory standards. Specifically, the position is responsible for the timely and accurate recording of revenues cash receipts, and other general accounting entries. These accountabilities include:
- Records cash, check and credit card receipts into the financial accounting system; reporting as necessary.
- Prepares billings for referring agencies and monitors receipts. Audits and reconciles guest registrations and detailed records of services.
- Monitors Accounts Receivable as necessary, i.e. merchandise, Gala, IAAPA, etc.
- Coordinates the multiple applications of record donations and retrieves donor information.
- Processes monthly ‘off-property’ invoices; reconciles to guest registers.
- Assists in monthly closings of financial records including reconciliations, spreadsheets, journal entries and reports.
- Investigates and resolves Wish Organizations’ inquiries as necessary.
- Processes and records credit card merchandise sales at month end
- Balance merchandise sales weekly
- Transfer data from donor management system to accounting system
- Bank Account reconciliation
- Performs other tasks as assigned.
QUALIFICATIONS AND SPECIFIC SKILLS:
- Working knowledge of accounting and business practice.
- Effective computer skills to perform accounting tasks and use software (Excel, Outlook, Word, and others)
- Must be able to speak, read and write English to communicate with donors and vendors.
- Ability to operate a variety of office machines required.
- Displays attention to detail and accurately performs accounting tasks.
- Strong organizational skills.
- Highly developed customer services skills and ability to work in a team environment mandatory.
PHYSICAL DEMANDS BEYOND NORMAL OFFICE ENVIRONMENT:
- Regularly required to walk, stand, bend, crouch, balance, use hands and arms.
- Ability to lift 25 lbs, unaided.
- Ability to work for extended periods in an office environment.
- Flexible schedule to include rotating schedules, nights, weekends and/or extended hours of work.
EDUCATION/EXPERIENCE REQUIRED:
- Two year degree or higher with a focus in Accounting or equivalent work experience is preferred
- Two to five years of business experience is required; hospitality experience is preferred.
