Position: Billing Support Clerk
Wage: $11.00 - $13.00 per hour
Location/Department: Orlando Office – Accounting Department
Summary: Project wrap up by verifying accuracy of production totals and documentation recorded by other departments in preparation for invoicing. Provides reception and administrative support.
Responsibilities Highlights Include:
Project Wrap Up:
Examine production documentation, reports, counts, communications and postage to verify accuracy of recorded data on project work order. Sort and assemble supporting documentation generated during production, identify any unexpected or additional services provided, research incomplete or inaccurate documentation with appropriate staff and correct errors or list discrepancies for adjustment. Maintain customer files including specific instructions for returning materials, inserts and procedures. Verify ending inventory balances reported against actual production.
Reception/Administrative Support:
Answer incoming telephone calls and monitor lobby telephone console for messages, Answer questions about organization and provide callers with address, directions and other information, Welcome guests to facility, Print and post daily conference room schedules, Prepare conference rooms for guests/meetings, Maintain various spreadsheets such as Client Holiday Schedules, the PM-Account Executive list, and the employee Birthday/Anniversary list, Birthday/Anniversary monthly postings for staff, Annually assist Client Services and Accounting with Mid-Year and End of Year boxing of files and new file creation, Manage storage and requests for completed Marketing samples and assist with tradeshow packaging of materials, Assist other departments by making copies, faxing/scanning, and distribution/filing of documents, and other clerical duties as needed.
UPS Processing:
Maintain Database with current Client/Vendor/Contact information, Maintain Shipping Materials inventory, shipment logging.
Education and/or Experience:
High school diploma and one year related experience and/or training.
