POSITION SUMMARY

The Payroll Manager is responsible for multi-state payroll functions within the organization. S/he has accountability to Finance and reports to the Controller with a strong level of interaction with the Human Resources department.. The successful candidate will need to rely on experience and judgment to plan and accomplish departmental and company goals while personally performing a variety of tasks as well as directly managing others in similar tasks. This individual will be responsible for ensuring that all payroll functions are performed according to federal and state statutes and will manage two Payroll Coordinators.

 

ESSENTIAL REQUIREMENTS & KEY RESPONSIBILITIES

  • Manage the Company’s payroll for over 6,000 team members while ensuring compliance wage and hour laws, garnishments, benefits, and taxes.
  • Responsible for all related financial reporting and payroll audit functions.
  • Supervise the members of the Payroll Department.
  • Ensure compliance in all jurisdictions in which the company operates in all matters payroll-related, including wage and hour laws, payroll tax return filing and payment remittance, etc.
  • Critically review and analyze current payroll, benefits and tax procedures in order to recommend and implement changes leading to best-practice operations.
  • Audit W-4s, payroll balance sheets, YTD earnings, etc.
  • Manage regular preparation of relevant management reports, including weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.).
  • Utilization of UltiPro Core for payroll and time & attendance while partnering with Human Resources in establishing and maintaining an accurate HRIS with Payroll continuing to be the single source of record
  • Partner with Human Resources in its management of Benefits with the accurate and timely communication and administration of the same for all eligible employees
  • Function as the liaison between Human Resources and Accounting/Finance.
  • Provide support for annual 401(k) audits.
  • Ensure systems are set-up and updated to reflect current employee base, including wages, benefits, sick and vacation time.
  • Ensure the processing of new hires, temporary workers, transfers, promotions and terminations is accurate and timely.
  • Assist with or lead special projects as needed.

REQUIRED SKILLS & EDUCATION

  • Bachelor's degree from four-year College or university; or a minimum of five years related experience and/or training; or equivalent combination of education and experience.
  • Previous experience with successfully managing the Payroll function for a multi-unit national organization and direct oversight of the Payroll team
  • Experience with UltiPro preferred.
  • Basic knowledge of accounting principles and general ledger systems, specifically related to the impact of payroll transactions on the company’s financial statements.
  • CPP certification required.
  • Strong communication and presentation skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Ability to read, analyze, and interpret common technical journals, financial reports, and legal documents.
  • Ability to respond to common inquiries or complaints from employees, regulatory agencies, or members of the business community.
  • Ability to effectively present information equally to individual employees, top management and public groups.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Physical Demands

The Payroll Manager is expected to be able to perform the job functions with reasonable accommodation. Physical demands include:

  • Remaining in a stationary position for extended periods of time
  • Bending, squatting, and lifting (up to 25 lbs.)
  • Occasional movement about inside the office to access file cabinets, office machinery, etc.
  • Frequent communication with Operations and Finance personnel regarding financial analysis. Must be able to exchange accurate information in these situations.
  • Constantly operates a computer and other office productivity machinery (i.e., a calculator, copy machine, and computer printer).
