SUMMARY
Answers phones, gives information to callers, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Operates multi-line incoming telephone system, retrieves voice mail messages, determines purpose of callers, and forwards to appropriate personnel or department.
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Answers and screens manager's telephone calls, and arranges conference calls.
- Answers questions about organization and provides callers with address, directions, and other information.
- Receives incoming faxes and routes to appropriate personnel.
- Reads and routes incoming mail.
- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Prepares outgoing mail and correspondence, including e-mail and faxes.
- Composes and types routine correspondence.
- Organizes and maintains file system, and files correspondence and other records.
- Makes copies of correspondence or other printed materials.
- Arranges and coordinates travel schedules and reservations.
- Orders and maintains supplies, and arranges for equipment maintenance.
- Assists other departments as needed.
SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE
A 4 year college degree is required. Related experience and/or training is preferred .
