Event Coordinator (Seasonal) - Special Event Management

This is a project-based, seasonal role, reporting to the Event Director - Event Business Development. The Event Coordinator (Seasonal) supports the event managers by performing complex project/event and administrative support requiring broad and comprehensive experience, which allows the incumbent to exercise a significant amount of independent decision making and discretion. Schedules are event driven and may allow some flexibility around other commitments.


  • Understands the event process and key internal and functional responsibilities

  • Supports the development, management, and delivery of events that are major resort initiatives while collaborating with the overall event manager, as assigned

  • Schedules all project team meetings, executive updates, core team meetings and manages event producer calendar and deliverables

  • Support the Reservation Center (Air, rooms, confirmations, Manifest, itineraries, Disney Now updates (RSVP tracking, report updates), asset distribution, My Disney Experience updates (linking hotel, park passes, Media Fast Passes, Magic Bands), Guest communications, and Event Hospitality.

  • Actively develops, manages, and communicates all project team timelines, milestones and deliverables ensuring that the overall event objectives are met

  • Facilitates all walk thru coordination, logistics elements including but not limited to: collateral/creative, room blocks, amenities, cast communications food and beverage, communication and entertainment art needs

  • Serves as a conduit for flow of all event information to/from Core and Project Teams, SEM Management as per protocol while keeping SEM Management informed of all salient issues at all times. Anticipates any conflicting issues that may arise and effectively controls the situation.

  • Under the Event Solutions team, responsibilities of support to include; Disney Rep Program, Fulfillment, Interview Scheduling, Transportation and Amenity development

Basic Qualifications

  • Demonstrated ability to multi-task and deliver quality, timely work within tight deadlines

  • Ability to interface with all levels of management

  • Effective oral and written communication skills

  • Able to work in a fast-paced, dynamic environment, managing multiple projects with varying priorities and deadlines

  • Strong computer proficiency including: Microsoft Office &/or Mac [i.e., Excel, Word, PowerPoint, Keynote]. Disney Systems experience (My Disney Experience, Dreams) a plus

  • Willingness to travel [domestically] and work a varied schedule that may include evenings, nights, and weekends as necessary

Preferred Qualifications

  • Prior Disney experience and/or knowledge of the Disney brand

  • Bilingual/Multilingual abilities a plus

Required Education

  • Bachelor's Degree is preferred or 2-3 years of prior event planning
