VIP PROGRAM COORDINATOR

SUMMARY:

The VIP Program Coordinator provides full marketing support to the VIP operation.

           

RESPONSIBILITIES:

  • Prepare and submit all room block assignments
  • Communicate with front desk, housekeeping and maintenance on room status and assignment moves.
  • Order and track marketing collateral pieces for site’s VIP operation.
  • Check in all VIP guests according to front desk standards and procedures. This includes but is not limited to procuring credit card information from guest, assigning keys, parking passes, additional guest information, signing proper forms.
  • Provide guest with resort and or area information in the event the VIP agent is occupied with room checks or another client
  • Assist with EOL event information and forms that need to be signed
  • Provide and update the VIP master list with tour status and room information
  • Prepare VIP arrivals report for In-House Marketing.
  • Attend all meetings regarding VIP program
  • Perform marketing guest recovery, to include guest appeasement preparation & delivery and guest calls.
  • Provide superior customer service in accordance with the Company DRIven to Excellence standards.
  • Consistently practice and maintain the highest standards of professionalism when interacting with fellow team members, management, owners, members and prospects.
  • Operate office machinery (i.e., computer, copy machine, fax machine).
  • Perform other duties as assigned.

QUALIFICATIONS:

  • One (1) year of related work experience.
  • Computer proficiency in Microsoft Word, Excel and Outlook.
  • High School diploma, GED or equivalent.
  • Previous experience in the vacation ownership or timeshare industry preferred.

  • Excellent customer service skills.
  • Excellent interpersonal and communication skills.
  • Time management; the ability to organize and manage multiple priorities.
  • Problem analysis and problem solving skills.
  • Initiative and adaptability.
  • Detail oriented.
