BASIC FUNCTION: The Human Resources Receptionist is responsible for being the first contact for employees and prospective applicants that come to Human Resources. Will be assigned a variety of responsibilities within the department including, but not limited to recruiting, employee relations, benefits, training and record keeping.
QUALIFICATIONS: EDUCATION, KNOWLEDGE, TRAINING, & WORK EXPERIENCE High school graduate or equivalent. Minimum of one-year Human Resource experience or confidential administrative work required Strong organizational skills, multi-task oriented. Excellent communication and interpersonal skills.
- Typing 45 wpm or better.
- Strong PC skills, Basic data entry, Word, Publisher, Excel or Lotus required. Pleasant phone demeanor. Strong employee relations’ skills.
- ESSENTIAL FUNCTIONS:

- Greet visitors, provide them with information regarding schedules, pay stubs, replacement cards and name tags, and employee discounts
- Answer phones and direct calls as needed
- Serve as scheduling liaison for HR Director and HR team.
- Maintain and update I-9 information for all employees. Audit on a quarterly basis and send out appropriate memorandums regarding updates required. Notify the Director of Human Resources of any outstanding I-9’s.
- Type and mail regret letters and postcards as directed by the Director of Human Resources.
- General office administration including office supply inventory, employee file maintenance, typing and other clerical support duties as needed.
- Create lists of employee anniversaries for distribution via monthly calendar flyers and letters from the Home office
- Coordinate employee birthday cards signature/distribution with the General Manager and other Leadership Committee members.
- Remain alert, courteous and helpful to guests and fellow employees at all times.
- Practice safety standards and report any unsafe conditions to the Director of Human Resources.
- Coordinate distribution of Safety and Health Checklists with direction from the Director of Human Resources.
- Maintain hotel reciprocity program including annual contact with hotels faxing of forms.
- Compile Key Executive Exit Interviews quarterly and give to Director of Human Resources within two weeks of quarter end.
- Audit Federal and State required postings quarterly and maintain employee bulletin boards.
- Maintain central filing for common forms and replenish HR forms inside and outside the office.
- Twice daily mail runs to HR mailbox and more as required by the department.
- MARGINAL FUNCTIONS:.
- Will perform additional duties as requested.
- Serve as backup to Director of Human Resources for benefits informational meetings.
- Attend job fairs and assist in job fair coordination as needed.
- Attend management training as necessary.
ENVIRONMENT:
Office setting, with overhead lighting and adjustable ventilation.
