Company Information We are a construction company operating in the central Florida area with a fleet of 100 plus equipment.  Our company is looking for a fleet assistant coordinator to support or fleet services staff.

Summary
Provides clerical services that expedite and maintain work orders and support fleet services. Intermediary between fleet manager, auto mechanics, and jobsite personnel in scheduling repair orders and routine vehicle maintenance.  Provide assistance in ordering parts and maintaining fleet repair schedule.

  • Answer all breakdown phone calls /emails in a timely manner and schedule repairs as needed
  • Assist manager and automotive mechanics in researching, pricing, and ordering parts
  • Schedule new repair or servicing appointments
  • Prepare work orders to assist fleet services staff in servicing vehicles
  • Give estimation of time needed to complete the servicing
  • Secure estimates on all major repairs from outside vendors
  • Follow up on status of repairs daily and update scheduling as needed
  • Assist Fleet Services staff as able to reduce work overload on team members
  • Maintain and Generate shop/ Breakdown reports
  • Assist shop in opening repair tickets, invoicing repairs and closing PO’s as needed
  • Type handwritten repair orders into Repair Order in software
  • File handwritten repair orders in filing system
  • Prepare department statistics documents
  • Write necessary reports and assist in vehicle licensing requirements of department

Knowledge, Skills and Abilities

  • Minimum 2 years’ experience as a fleet coordinator
  • Knowledge of computer and data entry
  • Knowledge of MS Word, Excel, Outlook
  • Knowledge in operation of basic office equipment such as copiers, phones, and printers
  • Good written and verbal communication skills
  • Ability to deal with people in a professional manner in all types of situations
  • Ability to learn terminology common in automotive industry
