The Facilities Coordinator is the face and voice of Esurance and is responsible for providing superior customer service to our clients and associates. As the Facilities Coordinator you will provide 24x7 assistance with resolving issues associated with all building services, including but not limited to vendor management, work space setup and adjustments, as well as exterior and interior building maintenance. The ideal candidate for the facilities coordinator position will have an enthusiastic and positive attitude, with the ability to handle multiple competing deadlines in a fast paced environment. You should have a strong attention to detail, with a professional poise to work with individuals at all levels in a corporate setting. Manage and maintain the security access control system for all new and current employees in corresponding location, to include card access, cameras, alarm response, and physical security procedures and monthly audits Receive, review, and work on facilities tickets that are submitted through the service request system with a sense of urgency Troubleshoot facilities issues that arise and dispatch to corresponding vendor when appropriate, to include flooding, equipment malfunctions, electrical, plumbing, office furniture, and/or HVAC issues Manage janitorial services and property management relationship Create Purchase Orders and Requisitions in People Soft Accounting system Lead the Esurance Site Services Safety Committee and ERT team at corresponding location Conduct regular site safety inspections and maintain safety and preparedness supplies Maintain all the CPR/First Aid training coordination activities and serve as the Site Evacuation Warden Manages incoming/outgoing mail, FedEx etc. and maintains records as well as distributes, sorts, logs, and route all deliveries Purchase, receive, and stock all kitchen and office supplies and all non-IT ordering and maintenance for leased office equipment (copiers, printers, postage machine) Cover front desk during lunch and break periods for onsite receptionist, which includes answering incoming calls, greeting visitors, and monitoring visitor access and issue visitor badges Perform indoor and outdoor visual inspections of building, electrical, plumbing, HVAC, workstations, and equipment On call 24x7x365 for security or building emergency response Coordinates office space planning with department managers and executes, moves, additions, and changes to the office environment Perform ergonomic evaluations for staff and advise necessary changes which improve workplace ergonomics Other duties as assigned by supervisor Excellent verbal and written communications skills with strong interpersonal skills and the ability to work as part of a team and autonomously Must be organized and have exceptional customer service skills with the ability to handle multiple tasks in a fast-paced, high-stress environment Strong negotiation skills with the ability to maintain relationships with vendors Solid computer proficiency with basic hands on experience with the MS Office Suite (Word, Outlook, and Excel) Experience / Education High school diploma required, associates degree preferred 3 - 5 years of Facilities Coordination experience, to include, hands on work experience working within a security/badge system and a work order facilities ticketing system Must have an understanding to buildings maintenance of: fire suppression and alert systems, HVAC Systems, electrical systems, plumbing, workstations, and emergency lighting Physical Demands and Work Environment Representative of those that must be met by an employee to successfully perform the essential functions of this job. Must be able to operate a PC and sit for extended periods of time. Must be able to lift up to 25 lbs.
