Administrative Assistant, YMCA Early Learning Centers @ Walt Disney World Resorts

Through innovative direction and in a unique partnership with the Walt Disney World Resort, the YMCA of Central Florida is looking for an enthusiastic, highly organized and positive team player to join our team as the Administrative Assistant at our two state-of-the-art licensed child care facilities in Lake Buena Vista and Kissimmee, Florida; with programming open 365 days a year. This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living and social responsibility.

The incumbent will support the District Executive Director by providing clerical and high-level administrative support involving the use of discretion and independent judgment. This individual will ensure an atmosphere of professionalism, friendliness and safety. S/he must have superior interpersonal skills; reflecting the brand partnerships to effectively interact with all levels of staff, members/parent guardians, as well as vendors and key corporate liaisons.

The successful candidate must have experience performing a variety of support functions; including creating written communications, documents, professional reports, spreadsheets, graphs/charts, presentation materials and other complex information for the Disney District Executive Director as assigned. This individual will be responsible for developing and maintaining schedules, multiple calendars (Master Calendar Management), special projects, purchase orders, project management and expense reports. S/he will set up meetings, take notes and compile meeting minutes as needed and distribute minutes/agenda to appropriate parties.

S/he must be a self-starter with the ability to take initiative, prioritize tasks and maintain strict confidentiality. The incumbent will also perform general support duties, including filing, photocopying, screening phone calls, and faxing. This individual will also distribute mail and assist with the pre-screening and scheduling of applicants for positions at both locations as well as centralizing the candidate and new hire tracking through multiple spreadsheets.

The incumbent must be willing to regularly work flexible hours based on operation needs, which may include some evening events, weekends and occasional holidays. Qualifications

  1. Associates degree or equivalent required. Bachelor’s degree preferred.
  2. Minimum of 3 years of experience as an Administrative Assistant. Experience in a support role of multiple locations preferred. 
  3. Excellent verbal and written communication skills required.
  4. Excellent organization skills with the ability to meet deadlines.
  5. Microsoft Office proficiency required.
