POSITION: Professional Services Conference/Deposition Scheduler

RESPONSIBLE TO: Director of Professional Services

JOB SUMMARY: Coordinate the scheduling of conferences and depositions for physicians hired to be an expert witness.  Coordinate conference scheduling for Workers Compensation case managers to clarify and/or discuss the patient’s treatment plan. 

 

EDUCATIONAL REQUIREMENTS:

  • High school diploma required
  • Advanced Degree or Certification preferred

QUALIFICATIONS AND EXPERIENCE:

  • Two plus years of work experience in a medical office or attorney’s office  required
  • Ability to perform multiple and diverse tasks simultaneously
  • Extreme attention to detail required
  • Pleasant speaking voice and demeanor
  • Proficient using email and word processing software
  • Knowledge of practice management software
  • Strong written and verbal communication skills and cheerful attitude

Responsibilities include, but are not limited to, the following:

  • Schedule conferences for Work Comp case managers per the physician’s preferences
  • Schedule conferences and depositions for physicians hired to be an expert witness per the physician’s preferences
  • Prepare invoices for expert witness conferences and depositions and submit to scheduling party
  • Prepare invoices for Work Comp conferences; determine if prepayment is required per the Work Comp contract
  • For prepays ensure payment is received prior to services being rendered
  • On the day of the deposition or conference, ensure physician has the chart/records ahead of time and initiate the deposition/conference when all parties arrive

This job has no supervisory responsibilities.

Typical Physical Demands

Work may require sitting for long periods of time, and also stooping, bending and stretching for files and supplies.  Position requires manual dexterity sufficient to operate a keyboard, operate a computer, telephone, calculator, copier, and such other office equipment as necessary.  Position also requires viewing computer screens and typing for long periods of time, and working in an environment which may be stressful.  Position could require occasional travel.
