Position Overview:
The Executive Assistant will provide executive-level administrative management and project support, prioritizing and organizing workloads based on the president’s needs while maintaining confidentiality. Supporting the president who is actively engaged, the Executive Assistant will work with him to prioritize his time commitments while ensuring staff and clients feel well served. With the president’s busy travel schedule, he will depend on you to keep a pulse on the status of organizational initiatives and projects, gathering updated information, scheduling meetings, guiding the process forward, and briefing the president on where his time is needed. Your success will depend on your ability to be gracious, communicate effectively, and organize a multitude of information to help the president be well-prepared and optimally productive.
Responsibilities include:
- Perform administrative functions ensuring the timeliness, accuracy and clarity.
- Maintain the president's appointment schedule and electronic calendar by planning and scheduling meetings, conferences, teleconferences, and travel.
- Ensure the president is informed of upcoming appointments and resolve conflicting demands on his time.
- Participate in meetings as needed. Record, type, and distribute meeting minutes.
- Conserve president's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- File and retrieve corporate documents, records, and reports as needed.
- Prepare and submit the president’s travel and expense reimbursement forms to the finance dept. Verify and monitor credit card charges and other receipts.
- Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
- Maintain customer confidence and protects operations by keeping information confidential.
- Contribute to team effort by accomplishing related results as needed.
