Duties and Responsibilities:

  • Answer phones
  • Distribute leads to sales people, enter client information into Sugar software
  • General office purchasing/ordering and contacting vendors for maintenance
  • Attend tradeshows, meet clients, take pictures of Nimlok Orlando exhibits for MKG
  • Organization of client exhibit pictures
  • Code receipts and invoices for accountant
  • Handle the Company’s Receivables and contact clients with open invoices
  • Organizing and coordinating warehouse staff timesheets
  • Preparing payroll on a bi-weekly basis
  • Production – Assist Production Manager, Hector Martinez with: scheduling, office info, organization and administration
  • Handle all warehouse invoicing and track production of warehouse and woodshop
  • Prepare monthly production reports to be reviewed by Production Manager
  • Maintain and update warehouse inventory including: AV, Furniture, Carpet, Custom Pieces, etc.
  • Assist project managers when needed and learn project management. Most items are listed below and vital to our businesses success
  • Prepare proposals as needed
  • When job is sold, communicate with the sales person to gather all pertinent details of the project
  • Place all orders with vendors; coordinate logistics and ship dates
  • Ensure all show services/forms are submitted (either by Nimlok Orlando or the client) by deadlines.
  • Submit warehouse and woodshop work orders to the Production Team
  • Coordinate pre-build labor and I&D labor with Production Manager and/or I&D vendor.
  • Prepare I&D books that include all relevant show information:  important dates, floorplans and layouts, show orders, exhibit orientation, set up instructions, graphic placement, etc.  These books will be distributed to the I&D staff.
  • Communicate job updates to the sales person.
  • Handle current client orders that don’t require sales person
  • Side Work: Jobs or projects handed to you by VP or Senior Project Manager, i.e., Sales initiatives, LinkedIn, Show List organization & research, customer email programs, etc.

  • Ability to meet constant deadlines with a positive attitude
  • Consistent attention to detail!
  • Highest degree of honesty, integrity and professionalism
  • Knowledge of Microsoft Office products (especially Excel spreadsheets)
  • Excellent communication and interpersonal skills; works well individually and as a team
  • CAD skills are a plus
  • Speak and write English clearly
  • Occasional weekend work required

Education and/or Experience:

High school diploma or general education degree (GED); two years or more related experience and/or training; or equivalent combination of education and experience.
