SUMMARY DESCRIPTION OF POSITION:
Under the general direction of an assigned supervisor, perform a wide variety of complex administrative, clerical, typing, and secretarial duties. Incumbents in the Administrative Assistant III class perform complex duties for top-level administrators involving large departments or highly visible and broad administrative functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
FOR THIS POSITION:
- Serve as Administrative Assistant to the Director of Jesus Film Mission Trips, relieving the director (and other department leadership as directed) of a variety of technical and administrative duties
- Track and administer the director and department’s calendars by arranging and scheduling a variety of meeting and events: including reserving and preparing meeting rooms and arranging catering as needed
- Prepare and type a variety of correspondence, agendas, memos, reports, meeting notes and materials, including material of a confidential nature
- Complete and track various data entry tasks; approve trips is database, send trip reports, and manage office and meeting supply budget
- Assign and rearrange desk spaces as needed for department staff and new staff, includes submitting the IT set up forms, acquiring office equipment, and setting up desk space
- Facilitate a team atmosphere by arranging celebrations of special events and team/individual milestones.
- Represent the department by answering the questions of other staff and greeting ministry guests.
- Prepare and edit correspondence, some documents, and presentations to appropriately represent the department’s goals and projects to other departments and organizations.
- Remind managers of team policies as needed to help team with day to day functions
- Attend meetings and committees as assigned or requested; offer input, take notes as needed, and compose and properly handle correspondence, agendas, reports and other materials in advance as requested
- Process a variety of travel and expense forms, such as visa applications, SOS travel coverage, and cash advance requirements for non-mission trip travel
KNOWLEDGE, SKILLS & ABILITIES:
- Modern office practices, procedures and equipment
- Correct English usage, grammar, spelling, punctuation and vocabulary
- Advanced personal computer operation, including word processing, spreadsheets and database management
- Learn, apply, and explain policies, procedures, rules, and regulations
- Type at 60 words net per minute from clear copy
- Work independently with little direction or supervision
EDUCATION and/or EXPERIENCE
Any combination equivalent to: two years college level work in office management and five years experience in secretarial or office management positions of increasing responsibility.
