Job Title:               Volunteer Services Administrator

Department:        Volunteer Services

Reports To:          Volunteer Services Director  

DUTIES AND RESPONSIBILITIES:

Position responsible for administrative functions of Volunteer Services department as well as support required from Volunteer Services department staff, volunteers, and peer departments. These duties include:

  • Screening all individual, group and visiting group volunteers prior to their scheduled shift
  • Maintaining volunteer job descriptions, safety requirements, etc. for all volunteer positions offered at GKTW
  • Utilizing volunteer database as volunteer management/communication tool and maintaining accuracy
  • Working with coordinators in scheduling and ensuring 100% coverage for all volunteer positions needed to run the programs and services offered at GKTW
  • Contacting volunteers and following up after orientation for placement
  • Recruitment, training and supervising volunteer office support staff
  • Continually communicating on-going volunteer needs with Village volunteers & GKTW staff
  • Coordinating web-based and electronic recruitment efforts. 
  • Liaison with all Village departments regarding Decorate-A-Villa program
  • Accurately utilizing donor database for participants/vendors
  • Clerical support including answering phones, lobby desk coverage, monitoring/updating checkbooks, maintaining and ordering office supplies
  • All other Village support duties as assigned

PHYSICAL DEMANDS BEYOND NORMAL OFFICE ENVIRONMENT:

  • Regularly required to walk, stand, bend, crouch, balance, use hands/arms to lift/move objects
  • Ability to move/lift up to 25 lbs.
  • Drive battery operated cart. Clean driving record a must
  • Ability to work in outdoor weather conditions
  • Maintain a flexible schedule to include nights, weekends and/or holidays

QUALIFICATIONS AND SPECIFIC SKILLS:

  • Decisive & creative problem-solving skills
  • Able to maintain confidential information
  • Able to multi-task
  • Proficient in Microsoft Office (Outlook, Word, Excel, Power Point), volunteer database experience and phone etiquette
  • Ability to communicate, understand, speak, read, write English to professionally communicate with GKTW departments/guests/volunteers/corporate partners

EDUCATION/EXPERIENCE REQUIRED:

  • 3+ years of previous volunteer services experience preferred
  • Guest Service experience preferred
  • 2+ years of office management experience preferred
  • 4-year college degree preferred
