As a representative of the Conference Services Team your responsibilities include managing Resort VIP group business and working as an intermediary between the Sales, Operational Departments as well as Customer to meet/exceed expectations as it relates to catered meeting/meal events at the resort.

ESSENTIAL JOB FUNCTIONS
• Call on definite bookings as assigned by Director of Catering & Conference Services to detail event business; analyze requirements of functions, outline available facilities and services offered, as well as quoting menu prices.
• Recommend and coordinate the set-up of the meeting room based on the number of participants and program.
• Coordinate catering /event requirements of meals, snacks and meetings as requested by individuals or groups by completing Banquet Event Orders, up selling all experiences as available
• Obtain Signatures on all Banquet Event Orders
• Coordinate all rooms and conference details pertaining to assigned groups
• Detail all on Conference Resumes and review with Departments at weekly Resume Meeting.
• Review and Approve Team Resumes prior to distribution.
• Verifies deposits on hand at time of file turnover and is responsible for collecting any additional deposits as outlined in Group Sales Contracts.
• Measures group rooms pick up and consult with Group’s Sales Manager regarding applicable attrition.
• Serves as conference manager during functions to minimize confusion and resolve problems such as space adjustment, guest services issues and/or need for additional equipment.
• Attends Banquet Event Order meeting and leads as instructed by Director
• Works closely with the Banquet Manager and Culinary Team to achieve /exceed guests expectations
• Build morale and group commitments to goals and objectives.
• Attend weekly Food and Beverage Department meeting.
• Attend weekly Operations Meeting.
• Assist Director in leading Banquet Event Order and Operations Meeting when needed.
• Assist in the training and mentoring of all Conference Services associates.
• Meet with potential facility users and site selection committees, conduct site tours of the facility and sell the resort as needed
• Use the resort’s standard policies and procedures to guide, develop, implement, maintain and enforce operational procedures.
• Develop standard policies as pertains to Conference Management, train and enforce within conference team.
• Perform other duties as may be required
• Oversees Catering Financial reports.


EDUCATION/EXPERIENCE
• 4 Year College Degree preferred
• Minimum 3 years experience in a similar Managerial Role at an upscale Hotel/Resort/Private Club
• Solid working knowledge of Delphi or other space allocation system preferred

REQUIREMENTS
• Be physically able to reach, bend, stoop and lift up to 40lbs.
• Be able to work in a standing position for long periods of time.
• Be able to work in a hot, cold, wet, humid and loud environment for long periods of time.
