Enrollment Services Specialist II

Responsibilities

DESCRIPTION: 

This is an advanced technical position within the Enrollment Services/Registrar department. The Enrollment Services Specialist II will provide in-depth research and evaluation of student records applying college policies, state statutes/rules, and national guidelines to accomplish tasks. The Enrollment Services Specialist II will specialize either in records certification or in transcript evaluation.


ESSENTIAL FUNCTIONS:
Transcript Evaluation

  1. Provides in-depth knowledge of admissions and records educational policies, procedures and programs as they relate to Federal, and Florida State College statutes and rules.
  2. Receives, opens and sorts all incoming mail for evaluations and certifications.
  3. Researches, evaluates, articulates, and process all college transfer credit, accelerated/articulated credit, military, and international credit in accordance with college policies, state rules, and national guidelines.
  4. Researches course equivalencies for advisors, students, and departments, or researches for determination and interpretation of evaluation, including all secondary courses and equivalencies.
  5. Creates and maintains institutional catalogs for all incoming transfer work and establishes course and transfer grading equivalencies.
  6. Provides data entry/processing services and maintains accurate records for students and potential students on an ongoing basis; enters accurate, detailed information of all transfer credit to students’ transcripts for advisors and certification specialists to certify and graduate.
  7. Answer, research record and resolve all questions related to students transfer evaluation for advisors, faculty, and staff.
  8. Assists with training to all new employees related to evaluation of transfer credit procedures.
  9. Performs all site and position specific responsibilities as assigned. 

Certification

  1. Evaluates and verifies completion of graduation requirements from all college and academic foundations programs.
  2. Processes degree applications for prospective graduates and notifies candidates by email of deficiencies and/or completion requirements.  Corresponds with students regarding completion problems.
  3. Processes all auto-identified candidates for AS and Certificates.
  4. Certifies and posts program and degree requirements for assigned BAC, AA, AS, AAS, EPI, GED, High School, OCP, Vocational, Technical degrees and certificates into PeopleSoft.
  5. Edits, prints and mails diplomas and certificates to graduates each term and mid-term; issues duplicate of copies of diploma/certificate by student’s requests.
  6. Works directly with department chairs, program directors, counselors, advisors, and deans to resolve questions, concerns, compliance issues, and problems with respect to graduation requirements.
  7. Assists with the preparation of Commencement, distribution of graduation packages, keeps record of RSVP, prepares all reader cards for commencement, and sends out commencement information to all graduation candidates.
  8. Assist with training to all new employees on proper scanning and certifications processes.
  9. Performs all site and position specific responsibilities as assigned.


REQUIRED QUALIFICATIONS:

  1. Associate's degree from an accredited institution.
  2. Minimum two years of experience working in student records or similar capacity in a post-secondary environment.
  3. Proficient in Microsoft Office Suite.


DESIRED QUALIFICATIONS:

  1. Bachelor’s degree from an accredited institution.
  2. Three years of experience working with students in a state college, community college, or university setting.
  3. Knowledge of college admissions and records procedures policies (i.e., FERPA and student confidentiality) and limited access admission requirements, including State and Federal regulations related to accreditation and transfers.
  4. Experience working with student information systems.

ENVIRONMENTAL CONDITIONS:

  • Works inside in an office environment.

Conditions of Employment

Finalists and individuals recommended for employment at Seminole State College may be subject to background investigations and fingerprinting in compliance with Florida Statute 1001.64; and Seminole State College Policy 1.020; 2.020. Criminal background checks and fingerprinting will be conducted for all new employees, and for rehired employees who have had a break in service for one year or more. The Office of Human Resources will determine which background checks shall be conducted for each position, based upon its review of job descriptions and the responsibilities of the position. Pay Benefits and Work Schedule

Annual Salary is $27,715 to $29,447 and may be commensurate with education and experience exceeding the minimum required qualifications.
