The Indirect Procurement Specialist will support the Category Managers and Category Leads with RFx sourcing for all categories. This key role requires knowledge of the procurement and RFx process to ensure consistency across Indirect Procurement. This position will act as the key point of contact with the Category Managers and Category Leads for sourcing projects. This position is also responsible for maintaining the HMH Contract Management database for new and renewal contract information and ensuring that all supporting documents are attached and filed within each individual supplier folders for easy accessibility for IP Category Managers. In addition, this role will coordinate, prepare project status update reporting, and participate on weekly calls for status updates on upcoming contract expirations. Excellent communication, customer service, and problem solving skills are required in this role to quickly resolve issues or escalate to appropriate Category Manager or Category Leads. This role will work to influence best practices and provide insightful data analysis to support organizational primary objectives. Primary responsibilities include:
Sourcing & Contracting:
•Receive project request from business owner. Gather all relevant spend data as requested.
•Obtain and key legal terms and/or template required for RFx
•Coordinate mutual NDA with suppliers and ensure full execution
•Create RFx documents using HMH templates and ensure legal requirements and IT security requirements are included
•Create sourcing and evaluation documents to include RFx scorecard
•Issue RFx to suppliers which will include a detailed timeline
•Review RFx documents to ensure all fields are populated including IT security questionnaire
•Support Category Managers / Leads on projects as requested
Procurement Process:
Create and maintain a library of RFx document templates
Work with Category Managers/Leads to create and standardized RFx documents including legal and security requirements, sourcing and evaluation documents and supplier scorecard
Develop and/or change process documentation using Visio
Maintain a list of current and closed sourcing projects
Reporting & Analytics
Upkeep and monitoring of the Contract Management Database
Gather all relevant spend data as requested
Education and Experience
Required
- Bachelor’s degree in Business, Procurement, Finance or related field
- 2-4 years industry experience in procurement operations
- Experience with sourcing processes and tools. Ability to draft and manage the RFP process, perform spend analytics, and develop recommendations
- Advanced computer skills (e.g. Microsoft Outlook, Word, Excel, PowerPoint, Access)
Preferred
- Demonstrated proficiency in Project Management
Physical Requirements
Might be in a stationary position for a considerable time (sitting and/or standing).
The person in this position needs to move about inside the office to access file cabinets, office machinery, etc.
Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
Must be able to collaborate with colleagues via face to face, conference calls, and online meetings.
