Administrative Assistant - Part-time
Learning books and projects distributor is seeking a Part-time Administrative Assistant who will enhance the effectiveness of the team by providing information and administrative support, and administrative level communications.
Primary Duties:
* Assist with creating client contracts throughout the contract process up to billing – creation, changes/edits, follow up, and signature/execution.
* Assist with changes and edits to client contracts.
* Process all contact information gathered from conferences and send out follow up communication.
* Send out and process the “follow up surveys” for all MI/CI trainings.
* Coordinate communications, including taking calls, responding to emails and interfacing with clients
* Perform word processing, spreadsheet and database entry
* Maintain an organized filing system of paper and electronic documents
* Uphold a strict level of confidentiality
* Develop and sustain a level of professionalism among staff and clientele
* Develop and maintain alert system for upcoming deadlines and incoming requests, projects and events
* Locate and attach appropriate files to incoming correspondence requiring replies
* Performs other related duties as assigned or requested
Minimum Qualifications:
* Minimum of four (4) years of experience as an Administrative Assistant reporting directly to management in areas of scheduling, document control, report generation
* Advanced Microsoft Office skills, with an ability to become familiar with office-specific programs and software
* Strong organizational, project management and problem-solving skills with ability to manage multiple tasks and deadlines
* Ability to keep on task and follow up on outstanding items
* Exceptional written and oral communication skills
* Strong attention to detail and a sense of ownership
* Demonstrated ability to collect and retain information
* Exceptional interpersonal skills and a spirit of collaboration
* Friendly and professional demeanor
* Fast learner who uses common sense with a willingness to learn new things
