Job Title:        Volunteer Services Administrator

Department:    Volunteer Services

Reports To:     Volunteer Services Management             

OVERVIEW/POSITION PURPOSE:

The Volunteer Services Administrator is responsible for the administrative functions of Volunteer Services department as well as support required from Volunteer Services department staff, volunteers, and peer departments.

DUTIES AND RESPONSIBILITIES:

Administration

  • Utilize volunteer database as volunteer management/communication tool and maintain accuracy
  • Process all new volunteer applications and communicate appropriate next steps
  • Ensure all appropriate background checks on all volunteers are completed. Review results and notify Director of any concerns
  • Maintain documentation of volunteer job descriptions, safety requirements, etc. for all volunteer positions offered at GKTW
  • Provide clerical support including monitoring/updating checkbooks, maintaining and ordering office supplies, processing orientation attendees etc.
  • Complete weekly and monthly reporting on shift fill rate, number of open shifts, no shows, activation/retention, etc.

Volunteer Relations

  • Answer phones, welcome and assist volunteers with check-in/check-out, answering questions, etc.
  • Serve as liaison between GKTW staff and volunteers regarding questions, issues and concerns
  • Support the Assistant Volunteer Services Managers in the recruitment and retention of volunteers
  • Recruit Volunteer Services Admin Volunteers. Provide training and oversight
  • Work with department managers in recognition initiatives through our Caught You Caring program and Digital Display Board channels

Scheduling

  • Work with coordinators in scheduling and ensuring 100% coverage for all volunteer positions needed to run the programs and services offered at GKTW
  • Contact volunteers after orientation to identify placement for first shift

All other duties as assigned

PHYSICAL DEMANDS BEYOND NORMAL OFFICE ENVIRONMENT:

  • Ability to be sit for long periods of time
  • Ability to move/lift up to 50 lbs.
  • Maintain a flexible schedule to include nights, weekends and/or holidays
  • Ability to work outside in all weather conditions

KNOWLEDGE, SKILLS, ABILITIES, EDUCATION and EXPERIENCE:

  • Proven experience to delivery exceptional customer service.
  • Ability to speak and write English clearly & articulately with a positive, professional & pleasant manner
  • Demonstrated ability to maintain multiple priorities and ability to adapt quickly and easily to a changing environment
  • Ability to work with all types of individuals, including co-workers, volunteers, and leaders
  • Must be able to use creative problem solving skills and demonstrate decisiveness
  • Able to maintain confidential information
  • Detail oriented
  • Proficient in Microsoft Office (Outlook, Word, Excel, Power Point)
  • Ability to operate a motorized vehicle, including battery-operated golf cart
  • Valid driver’s license and clean driving record
  • High School Diploma
  • Two years of experience in an administrative or coordinator position
  • Bachelor Degree in related area preferred
  • Guest Service experience preferred
  • Experience with databases preferred
  • Bilingual English/Spanish preferred
