Job Title:        Assistant Volunteer Services Manager

Department:  Volunteer Services

Reports To:    Volunteer Services Director         

OVERVIEW/POSITION PURPOSE:

In charge of the implementation and administration of Volunteer Services policies, programs, practices and resources. Includes all aspects of volunteer and employee management: recruitment, screening, orientation, coaching, conflict resolution,recognition, retention, and volunteer relations.

DUTIES AND RESPONSIBILITIES:

Volunteer Management

  • Manage daily scheduling and coverage for all 1700 weekly volunteer positions and ensure volunteer venues and programs are staffed
  • Ensure accuracy of volunteer documentation, statistical reporting, database and communication efforts with volunteers
  • Manage volunteer orientation, placement, management, retention and recognition of volunteers
  • Liaison with all departments regarding any volunteer issues/crises/emergencies; identifying and communicating any and all items needing attention/support

Staff Management

  • Recruit, hire, coach, manage, and mentor Volunteer Services team
  • Conduct regular 1:1 sessions and annual reviews with each direct report to ensure alignment between expectations and team member performance
  • Maintain documentation to inform and measure direct reports performance
  • Recognize achievements being made in all areas of the department and create area celebrations for surpassing expectations
  • Assist Director with departmental reporting and measurements (budgeting, payroll, operating expense control, operational effectiveness) for overall Volunteer Services

Events

  • Assist in planning and facilitate execution of events for Village volunteers, including quarterly appreciation parties, holiday party, appreciation week, and on-going volunteer and staff retention efforts

All other duties as assigned

PHYSICAL DEMANDS BEYOND NORMAL OFFICE ENVIRONMENT:

  • Regularly required to walk, stand, bend, crouch, balance, and use hand/arms to lift/move objects
  • Ability to work in outdoor weather condition
  • Ability to lift and transfer 25 lbs.
  • Maintain a flexible schedule to include nights, weekends and/or holidays

KNOWLEDGE, SKILLS, ABILITIES, EDUCATION AND EXPERIENCE:

  • Establishes effective working relationships by adjusting approaches to meet the needs of a diverse team
  • Effectively identifies and analyzes problems. Uses creative solutions to solve problems with varying degrees of information
  • Proven ability to maintain a high level of confidentiality, tact, professionalism and integrity
  • Previous experience providing public relations
  • Promote a spirit of team work
  • Ability to multi-task, balancing time while ensuring standards are always met
  • Flexible to meet ever-changing scenarios while ensuring standards are always met
  • Ability to utilize database technology for large number of volunteers
  • Ability to work evenings and weekends, holidays, extended hours both on and off property
  • Ability to operate a motorized vehicle, including battery-operated golf cart
  • Valid driver’s license and clean driving record
  • Bachelor Degree in a related field
  • Minimum 2 years of volunteer management experience in a human services, social services, or related environment
  • Minimum of 1 years of staff supervisory or managerial experience
  • Degree in or Health Administration, Non-Profit Management or Hospitality preferred
