Job Title:  Supervisor, 5500 Team

Report to: Director, 3(16) Services

Status:  Full Time/Exempt

Position Summary:

The Supervisor, 5500 Team will be a hands-on working supervisor. This position will be responsible for the accurate filing of the IRS and DOL Form 5500, Form 5558, and applicable schedules in addition to serving as the leader of this team. This is complex and detailed work that is deadline driven. The successful candidate will be a strong leader of people and demonstrate strong attention to detail, good organizational and research skills, and excellent communication skills.

Job Description:

  • Lead daily activities of 5500 team to ensure all work is completed according to scheduled deadlines and in accordance with quality standards
  • Train, coach, and mentor 5500 team to achieve company goals in a results-oriented environment, and identify development needs across the team to assess additional training needs
  • Role model outstanding customer service
  • Build inter-departmental relationships
  • Track various productivity. quality and performance standards and analyze results to ensure that established levels are achieved
  • Communicate and report to leadership and company partners
  • Offer solutions to meet or exceed customer expectations
  • Manage workflow of staff in delegation, assignment and follow-up required for efficient performance of the team
  • Manage all personnel actions of assigned team (recruiting, timecard and PTO approval, corrective action, performance management/reviews)
  • Act as an escalation point for clients and partners
  • Evaluate overall performance by gathering, analyzing, and interpreting data and metrics
  • Review and resolve filing discrepancies
  • Submit resolved discrepancies to filing team
  • Analyze and research data to ensure proper completion of Form 5500 and applicable schedules
  • Analyze client information to ensure compliance
  • Assist client with Independent, IRS or DOL Audit
  • Preparation of annual audit of client accounts
  • Document each customer encounter with proper internal/external documentation in CRM
  • Maintain and ensure confidentiality of plan and participant information
  • Electronic Document preparation
  • Complete assigned work within set deadlines
  • Compose consistent professional communication
  • Continually maintain knowledge of all company services
  • Practice organization and time management skills including prioritizing work and requesting additional work when appropriate
  • Meet or exceed metrics on a consistent basis

Job Qualifications:

  • Bachelor’s degree in finance or business, or equivalent work experience
  • Extensive knowledge of the retirement plan industry required, designation with ASPPA preferred
  • Minimum of 5 years’ experience with defined contribution plan administration and a minimum of two year’s leadership experience required
  • Comprehensive understanding of Form 5500, Audit Requirements and Filing process
  • Ability to Review and Interpret the Form 5500, Form 8955-SSA, Schedule H, and Form 5558
  • Recordkeeper / TPA experience
  • Excellent collaboration, organizational, time management, customer service and problem-solving skills and the ability to work accurately and meet deadlines with frequent interruptions
  • Effective leadership, coaching, motivation skills

  • Exceptional verbal, written and visual communication skills
  • Self-motivated and ability to work independently and effectively under deadline pressures
  • Strong analytical skills to evaluate facts and data using sound and mature judgment

  • Must be authorized to work in the US
  • Must be able to pass a criminal background check
  • Ability to prioritize work within assigned caseload
  • Proficiency with Excel, Word and Outlook required. Salesforce experience and DOL EFAST2 experience a plus
  • Must be at least 18 years of age
