Job Title: Administrative Assistant
Report to: Chief Compliance Officer
Status: Full Time/Non-Exempt
Position Summary:
The Administrative Assistant will act as manager of first impressions to guests in addition to performing general office management tasks. The incumbent will also act as a floater assisting other departments as needed.
Job Description:
- Serve as front desk receptionist and professionally greet and announce visitors
- Schedule meetings and conference rooms
- Contact job candidates and schedule employment interviews
- Organize team meetings, lunches, and events
- Coordinate travel
- Process/distribute incoming and outgoing mail
- Prepare PowerPoint presentations and Word documents
- Update and maintain policy and procedure manuals and track acknowledgements
- Perform general office management such ensuring the office is tidy and organized and ordering break room and office supplies
- Scan and file documents
- Verify, reconcile, and scan receipts for company credit card purchases
- Prepare deposits and take to the bank
- Act as office floater filling in during peak times in other departments such as 5500, Notice and Distributions and Contact Center.
- Continually maintain knowledge of all company services
- Maintain and ensure confidentiality of company, plan, and participant information
- Practice organization and time management skills including prioritizing work and requesting additional work when appropriate
- Meet or exceed metrics on a consistent basis
Job Qualifications:
- Minimum three years’ previous administrative assistant experience required
- Prior experience in the retirement plan industry with a focus in Defined Contribution Plans preferred
- Must obtain Retirement Plan Fundamentals (RPF) certification within first year of employment
- Notary preferred and if not one currently, must obtain commissions certificate and seal within 90 days of hire
- Exceptional personal character, including a strong work ethic, positive attitude, and willingness to assist others at all times
- Exceptional organizational skills, strong attention to detail and ability to multi-task
- Thorough understanding of office management procedures
- Ability to work independently and also be part of a team environment
- Proficiency with Excel, Word, PowerPoint, and Outlook required, SalesForce experience a plus
- Availability to work shift schedules including evenings
- Flexibility to work mandatory overtime in order to meet business needs
- High school diploma or equivalent required
- Must be at least 18 years of age
- Must be authorized to work in the US
- Excellent verbal and written communication skills
- Ability to produce grammatically correct written correspondence
- Must be able to pass a criminal background check
- Must have reliable transportation and a clean driving record
