Job Summary: Responsible for the front desk operation, including greeting clients/guests and answering and directing calls. Assist other staff with tasks and projects as assigned. Provide support and back-up for administrative team members.
Essential Duties & Responsibilities:
- Answer telephone and direct incoming calls to appropriate person.
- Greet and welcome clients/guests, provide for an accommodating environment and announce their arrival to advisors, etc.
- Escort walk-in visitors to the appropriate location.
- Set up conference rooms before and after meetings.
- Schedule internal meetings.
- Scan / file all documents.
- Pick up and distribute the incoming mail and process outgoing mail.
- Log in checks and maintain check log.
- Order/coordinate meals for office/client meetings.
- Order office and kitchen supplies; stock refrigerator with beverages; maintain supply area.
- Monitor and maintain kitchen in orderly fashion.
- Validate parking / handle parking issues.
- Process requests for office maintenance and after-hours HVAC requests.
- Create greeting cards for clients and employees.
- Process and communicate confidential client information professionally and discreetly.
- Create and maintain individual task list.
- Participate in special projects and committees and provide support and backup as needed.
Qualifications, Skills Required:
- Excellent interpersonal, organizational and communication skills.
- Excellent typing, spelling and proofreading skills.
- Understanding and experience in Word, Excel, Outlook and PowerPoint. Experience with CRM preferred.
- Able to work independently and establish priorities.
- Must be organized, detail oriented and able to multi-task.
- Able to work effectively with the highest standards of confidentiality and ethics.
- Able to project a professional image to clients.
- Team player, able to work well with all levels of the firm, as well as with clients.
Education/Training/Experience Required:
- Associate’s Degree (or at least 2 years of college).
- Two years of administrative support experience in a professional services environment.
