Job Summary: Responsible for the front desk operation, including greeting clients/guests and answering and directing calls. Assist other staff with tasks and projects as assigned. Provide support and back-up for administrative team members.

Essential Duties & Responsibilities:

  • Answer telephone and direct incoming calls to appropriate person.
  • Greet and welcome clients/guests, provide for an accommodating environment and announce their arrival to advisors, etc.
  • Escort walk-in visitors to the appropriate location.
  • Set up conference rooms before and after meetings.
  • Schedule internal meetings.
  • Scan / file all documents.
  • Pick up and distribute the incoming mail and process outgoing mail.
  • Log in checks and maintain check log.
  • Order/coordinate meals for office/client meetings.
  • Order office and kitchen supplies; stock refrigerator with beverages; maintain supply area.
  • Monitor and maintain kitchen in orderly fashion.
  • Validate parking / handle parking issues.
  • Process requests for office maintenance and after-hours HVAC requests.
  • Create greeting cards for clients and employees.
  • Process and communicate confidential client information professionally and discreetly.
  • Create and maintain individual task list.
  • Participate in special projects and committees and provide support and backup as needed.

Qualifications, Skills Required:

  • Excellent interpersonal, organizational and communication skills.
  • Excellent typing, spelling and proofreading skills.
  • Understanding and experience in Word, Excel, Outlook and PowerPoint. Experience with CRM preferred.
  • Able to work independently and establish priorities.
  • Must be organized, detail oriented and able to multi-task.
  • Able to work effectively with the highest standards of confidentiality and ethics.
  • Able to project a professional image to clients.
  • Team player, able to work well with all levels of the firm, as well as with clients.

Education/Training/Experience Required:

  • Associate’s Degree (or at least 2 years of college).
  • Two years of administrative support experience in a professional services environment.
