Project Coordinator II

Job Description:

This position will report directly to the Associate Dean of Academic Services, Progress, and Graduation of the College of Graduate Studies. The person in the position will oversee day-to-day initiation, planning, monitoring, completion, and evaluation of projects and provide status reports to the Associate Dean as requested.

Other job responsibilities include:
 

  • Manages projects to improve graduate student retention, time to degree, UCF graduate program regional and national rankings, graduate student mental health and wellness, and internationalization of our programs (especially related to our Hispanic Serving Institution status).
     
  • With the Associate Dean, meets with Graduate Program Directors, Graduate Program Assistants, Graduate Associate Deans, and other college partners to understand their needs as they relate to Academic Services, Progress, and Graduation.
     
  • In conjunction with the Associate Dean, determines the scope and specification of projects.
     
  • Prepares schedule of work efforts, tracks hours worked, escalates issues or critical deadline obstacles.
     
  • Assists university administrators and inter-institutional groups in resolving specific student services, academic progress, and graduation business process problems.
     
  • Collects, analyzes, and reports data to evaluate the success of projects.
     
  • Recommends changes to initiatives, as suggested by project evaluation data.
     
  • Builds and tests the new processes.
     
  • Works with UCFIT professionals to identify the most appropriate technology (e.g., Dynamic Forms; Qualtrics; Microsoft Sharepoint) to convert paper processes to electronic processes.
     
  • Recommends new and improved technology to effectively manage academic services, progress, and graduation certification. Leverages new technology to create efficiencies in business processes.
     
  • In conjunction with the Director, coordinates the implementation of new business processes and projects to include: write training materials, train staff, and otherwise carry out the implementation of the new process.
     
  • Makes presentations of new projects and processes to the Academic Services, Progress, and Graduation team, the larger College of Graduate Studies team, College Associate Deans, Graduate Program Directors, Graduate Program Assistants, and other college partners.
     
  • Ensures SUS/University rules and policies are followed in the creation of new processes and the development of projects.
     
  • Assists in writing grants to fund new initiatives and writes reports to share project successes with the larger graduate studies community.
     
  • Works closely with the Associate Dean to write content for our website to assist graduate students and graduate faculty in using our services.
     
  • Other duties as assigned.

Work Schedule:

Monday - Friday, 8:00 AM to 5:00 PM. The schedule may vary as required.

$56,030 to Negotiable

Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience.

Preferred Qualifications:

  • Project management experience
     
  • Skilled in technology (e.g., building and managing electronic forms; Excel; WordPress; creating training videos)
     
  • Excellent interpersonal skills and higher education experience
     
  • Ability to keep up at a fast pace, with multiple projects and competing deadlines
     
  • Ability to use independent professional judgment and sound decision making
