POSITION:  Compulsory and Independent Medical Examination Scheduler  

RESPONSIBLE TO:  Professional Services Manager

JOB SUMMARY:   Coordinate the scheduling of Compulsory Medical Examinations (CME) and Independent Medical Examinations (IME) between the expert physician and the client attorney or carrier. Responsible for ensuring all examination related preparatory work is completed within the required timeframe.  

EDUCATIONAL REQUIREMENTS:

  • High school diploma required
  • Associate degree in communications, business, or related field preferred.

QUALIFICATIONS AND EXPERIENCE:

  • Three plus years of experience processing litigation cases in either a medical office or an attorney’s office
  • Knowledge of practice management and electronic health records software.
  • Proficient using email and word processing software.
  • Ability to perform multiple and diverse tasks simultaneously.
  • Strong written and verbal communication skills.
  • Strong customer services and telephone skills.
  • Ability to perform well in a stressful situation and maintain composure in an open environment.
  • Efficient, organized, follow through on commitments.

Responsibilities include, but are not limited to, the following:

Compulsory and Independent Medical Examination Scheduling Duties

  • Work with the client attorney or carrier to schedule the CME/IME appointment according to the physician’s preferences. 
  • Ensure the requested examination is scheduled with sufficient time to allow for a pre/post conference, deposition and/or trial appearance.
  • Create a CME/IME chart and set up client billing information in the practice management system; enter all CME/IME charges, appointment details and approved procedures on the charge slip in the EHR system. 
  • Ensure all medical records related to the CME/IME case are organized, tabbed and provided to the physician according to their defined preferences.
  • Ensure any specific attorney or court orders are communicated to the physician and clinical team on the day of the CME/IME appointment.
  • Prepare and organize the CME/IME charts  ensuring all charts are at the respective location in a timely manner.

General Administration

  • Respond to client voicemails and emails within 1-2 business days.
  • Maintain an understanding of the various roles within the department.
  • Maintain detailed knowledge of practice management, electronic health record and other computer software as it relates to job functions.
  • Maintain patient confidentiality; comply with HIPAA and compliance guidelines established by the practice.
  • Complete all other duties as assigned by the Professional Services Manager.

Typical Physical Demands

Position requires extended sitting, some standing, bending, stooping and stretching.  Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone and other office equipment is also required.  Employee must have a normal range of hearing and eyesight to record, prepare, and communicate appropriate reports. Position requires viewing a computer screen and typing for long periods of time, and working in an environment which can be very stressful.
