The Economics Department at Rollins College is seeking a service-oriented part-time Administrative Assistant to join their team!

Work Schedule:

The Economics Administrative Assistant role is a full-time 9-month appointment, scheduled to work August through April, 27.5 hours per week. The schedule for this position is Monday-Friday, 9:00am - 2:30pm (flexible).

Primary Job Responsibilities:

Assist the department chair with administration of the department, including but not limited to:

  • Serving as a primary point of direct administrative contact and liaison with other offices and individuals.
  • Helping to coordinate class scheduling - checks for inconsistencies such as prerequisites, designations, classroom requests.
  • Preparing expense reports.
  • Scheduling departmental meetings and preparing materials for the meeting.
  • Taking minutes at the meetings.
  • Facilitating hiring procedures - coordinates hiring schedules, walks the candidates around campus, helps with class and seminar presentation set up.
  • Maintaining department’s files both electronic and physical.
  • Maintaining public relations, including creating, redesigning, updating, and maintaining the department’s website.
  • Writing e-mail announcements to majors and faculty.
  • Composing and facilitating letters to newly declared majors welcoming them to the department.
  • Helping design brochures, and overseeing the department’s bulletin boards.
  • Assisting in increasing visibility of the department in the broader intellectual life of the college (as suggested by the external review of the program).
  • Monitoring departments' budgets; compiling and calculating budget figures/analyses.

Assist with special events (speakers, colloquia, social events, conferences, retreats), including:

  • Helping to organize and conduct departmental events by securing space, equipment, food, preparing invitations, announcements, agendas, brochures, and packets.
  • Corresponding with speakers, arranging travel, reserving accommodations, overseeing budgets and arranging for reimbursements, collecting and submitting information for reimbursements to speakers.
  • Collecting applications and dues for the ODE (ECO honor society), distributing/mailing out cords and certificates upon graduation.

Provide day-to-day department office management and support, including but not limited to:

  • General reception duties - assisting students, faculty and other visitors; collecting and distributing mail; procuring office supplies; organizing materials in common areas and ensures that common areas are kept neat and orderly.
  • Assisting faculty by answering questions and providing information, locating desired information and materials.
  • Providing identity for the department; helping in building an inclusive and welcoming environment with our students.
  • Assisting students by determining who can best provide information needed by the student, providing basic and initial assistance to students with questions about classes, registration, permissions, etc. using established guidelines (information in course catalogs, departmental and college documents, and established policies and procedures).
  • Hiring, training, and supervising student workers.

Provide administrative and technical support to 6 department faculty (for teaching purposes), including:

  • Setting up offices for new faculty.
  • Ordering and maintaining the inventory of office supplies and equipment.
  • Ordering desk copies.
  • Preparing expense reports.
  • Assisting in test preparation, preparing and/or proofreading manuscripts.
  • Coordinating printing jobs for course handouts, syllabi, and exams.
  • Giving out assignments, administering exams, and canceling classes for absent faculty.
  • Coordinating IT orders such as special technical equipment and submitting to IT work orders requests for resolving classroom issues with equipment.
  • Assisting in the coordination, control, and completion of special projects as requested.

Minimum Qualifications:

  • High school diploma and one-two years of equivalent work experience.
  • Appreciation and positivity toward DEI efforts and working with/communication with diverse populations.
  • Ability to collaborate and interact effectively with students, faculty, staff and community members by establishing good working relationships.
  • Ability to analyze information and make judgment decisions, remaining calm in high stress situations and using tact/good judgment in resolving work problems and dealing with the public, students, and staff.
  • Ability to maintain confidential files and information.
  • Ability to work with a high degree of accuracy and autonomy.
  • Strong multi-tasking, organization, and time management skills in order to balance multiple complex projects at one time.
  • Strong attention to detail, proactive approach to problem-solving, strong organizational and time management skills.
  • Strong written, verbal and interpersonal communication skills with a positive demeanor.
  • Proficient in the use of computer systems and software for word processing and spreadsheets, including but not limited to Microsoft Word, Excel, Outlook and Power Point.

Preferred Qualifications:

  • Experience working in a college/university setting and/or working with college level students.
  • Experience with Banner and Canvas platform systems.

Work Environment:

Working in-person, on campus, in a fast-paced office environment.

Work requires visual strain and use of computer.

Economics is a major that is interesting, challenging, and always relevant to us as individuals and as a society. The Economics Department at Rollins College offers a unique program that considers economic behavior in economic history and alternative economic perspectives, along with traditional economic analysis. Every semester they also offer a variety of exceptional electives that reflect traditional topics such as international, monetary, and industrial economics, as well as frequent special topics courses that reflect our research and intellectual interests.

These currently range from Ethics and Economics, to the Economics of Non Profits, to the Economics of Piracy. Our graduates have gone on to a variety of excellent graduate programs in economics, international studies, business, law, public health, medicine, and public administration, policy and planning.
