The Office of International Programs at Rollins College is seeking a service and detail-oriented Study Abroad Coordinator to join their team! The Study Abroad Coordinator functions as the primary coordinator and student advisor for a portfolio of field studies, domestic field studies, approved semester programs, and college-affiliated travel; coordinates the annual Study Abroad Fair; and manages the Student Site Leader program. This role also provides general student support and advising including leading pre-departure orientations, contributes to a wide variety of publicity and outreach efforts, assists with ongoing program assessment and supports projects and initiatives to improve operations, enhance student learning and increase diversity, equity and inclusion in education abroad.

The salary is low $40s annually.

Primary Job Responsibilities:

  • Function as the primary student advisor and program manager for a portfolio of programs including 15+ short-term programs and 4-6 approved semester programs with 240+ student participants annually.
  • Support program planning and publicity and ensure that program websites and other materials are updated and accurate. Develop and oversee faculty-led program budgets. Assist program leaders with targeted publicity and with program arrangements and bookings as needed. Meet with program leaders throughout the process and maintain strong relationships with partners to effectively support students.
  • Oversee the application, acceptance and confirmation processes in cooperation with program leaders and the IP Director. Process applications, conduct interviews, notify students, manage waitlist processes, and confirm student participants.
  • Manage the pre-departure process. Send student information and materials to partners as needed. Send students reminders and instructions about visas, housing applications, flights, course approvals, orientations, and other pre-departure processes; prepare and send general pre-departure materials to students and help plan pre-departure orientations. Prepare updated registration information and work with students and colleagues on campus to ensure accuracy of student accounts and resolve any issues that arise. Review student voluntary health information and communicate as needed to mitigate risks and support students.
  • Provide information, resolve problems, and support crisis management and response as needed while students are abroad. Support program leaders with any issues or concerns that arise during travel.
  • Throughout the process, respond to student questions and provide support to students to help ensure a successful study abroad experience. In addition, respond to questions from program leaders and be available to support them as needed.
  • Provide general study abroad advising for any students interested in study away. Advising areas include: all Rollins approved programs and field studies, study abroad eligibility requirements, application processes, deadlines, registration, credit transfer, billing, financial aid and scholarships, and office services, policies and procedures.
  • For Rollins-affiliated international travel and domestic programs:
  • Track and manage any travel in this category including coordinating with faculty/staff leaders as needed; assisting students with registration, overseeing pre-departure processes and providing additional support as needed.
  • Manage the Student Site Leader program including recruitment; expectations and contracts, student training, assessing student learning, and conducting annual assessment of the program as a whole.
  • Lead the planning and execution of the annual Study Abroad Fair including invitations, event planning, publicity, preparation of materials, etc. Lead study abroad information sessions, conduct classroom visits, and participate in other events for incoming, current, and returning students as needed. Assist with efforts to increase diversity, equity and inclusion in study abroad.
  • Assist with program assessment and student learning initiatives including conducting program reviews, leading pre-departure orientations, leading mid-semester check-ins with students abroad, and managing the online orientation course.
  • Support larger projects and initiatives to improve general office operations, improve programs, and enhance student learning.
  • Participate in professional conferences and conduct study abroad program site visits (When budgets and time constraints allow).

Minimum Qualifications:

  • Bachelor’s Degree required.
  • At least two (2) years of relevant experience.
  • Strong organizational, communication, writing skills, and computer skills.
  • Strong computer skills including Microsoft Office products and email software.
  • Ability to handle detailed, confidential, legal and personal information as well as situations with a high degree of discretion.
  • Ability to interact effectively and respectfully with students, faculty, and staff in order to establish and maintain good working relationships.
  • Ability to analyze complex situations and to make sound judgments and decisions.
  • Ability to effectively communicate and present information to large groups of people.
  • Ability to meet strict deadlines, prioritize tasks, and work independently.

Preferred Qualifications:

  • Experience working in higher education or with college students, particularly in the field of education abroad.
  • Experience working in the field of education abroad and/or experience participating in education abroad.

 Work Environment:

  • Working in-person, on campus, in an office environment.
  • Work requires visual strain and use of computer.
  • Some work may include nights and weekends, and some travel will be required.

The Office of International Programs (IP) oversees and coordinates all off-campus international programs and all domestic off-campus, credit-bearing programs for students in the College of Liberal Arts and Hamilton Holt School. This includes our approved semester programs, our faculty-led summer programs, and our faculty-led short-term field studies during the winter, spring, and summer breaks. We also support students traveling internationally through Crummer Graduate School of Business courses, on unaffiliated programs, and engaging in conferences, research, and competitions abroad!
