The Coordinator for Academic Advising and Rollins Gateway is responsible for the day-to-day programmatic needs, operations and administrative functions that will enable a connected, organized, integrated and intentional environment that develops global citizens and responsible leaders.

Primary Job Responsibilities:

  • Provides support to Associate Dean of Advising and Assistant Vice President for Student Affairs & Community for program needs including scheduling, coordinating institutional events, educational experiences, assessment, storytelling/marketing, resource management, budget management and student participation.
  • Supports the Associate Dean of Advising in management of Academic Warnings for students, including tracking warnings, weekly meetings for triage and management, and referrals to appropriate staff and faculty.
  • Supports the Associate Dean of Advising and Director of Advising in management of academic probation and suspension processes, including maintaining records, making appointments with advising staff, and handling correspondence.
  • Provides occasional administrative support for Director of Fellowships Advising and Business Advisor for event scheduling, purchases, budget processes.
  • Collaborates with Assistant Vice President for Student Affairs & Community on strategic operational committees by providing administrative coordination and support for student experience, emergency/life safety, procedures manual, navigation, art, program synergy, sustainability, and the program leadership team for Kathleen W. Rollins Hall & Rollins Gateway.
  • Hires, trains and manages student workers for Rollins Gateway and Kathleen W. Rollins Hall (between 8-10 students to support operations, meet and greet and student engagement by developing a unified student experience plan in partnership with all staff and faculty in program and building).
  • Manages evening and weekend operations and communication with student workers and liaison with facilities, campus safety, etc.
  • Executes all Rollins Gateway & Kathleen W. Rollins Hall communication through electronic signage, video wall, wayfinding, social media and print communications by collaborating with Enrollment Management & Marketing and Internal Communications on branded messages (managing daily changes).
  • Manages daily facilities and operational needs including highly trafficked student spaces (Fox Den, occupied stair, open lounges), supports immediate faculty, staff and student needs with in specialized spaces (supplies, tech etc.), liaison with Classroom Tech and Event Services around problem solving in scheduled spaces.
  • Point of entry for daily groups, tours and major events with Kathleen W. Rollins Hall & Rollins Gateway including Enrollment & Admissions, Alumni Weekend, Family Weekend, Orientation, Community Relations, Summit on Transforming Learning etc.
  • Serves as a member of the Division of Student Affairs Community Alignment as a support partner and collaborator with the Center for Leadership & Community Engagement, Social Innovation & Entrepreneurship Hub, Campus Media and Center for Inclusion & Campus Involvement, Administrative Assistant of Advising, and other administrative staff within Rollins Hall.

Minimum Qualifications:

  • At least two (2) years of project management, coordination and administrative professional experience.
  • Experience working with, and deep appreciation for, working alongside diverse populations.
  • Strong computer skills (Microsoft Office) and comfort with new technology (as an end user, trainer and problem-solver).
  • Ability to handle confidential student records with respect and discretion
  • Highly organized, detailed and able to flourish in a fast-paced environment with multiple priorities and needs.
  • Friendly, service-oriented and mission-driven.
  • Ability to perform tasks and focus in a highly engaging and active environment.
  • Knowledge of basic graphic design (InDesign, Photoshop, Canva, etc.) for creating promotional materials.
  • Demonstrated ability to implement programmatic initiatives from ideation to execution.
  • Ability to lead through ambiguity and scale efforts.
  • Strong oral and written communication skills demonstrated through facilitation, proposals writing, grants, promotional materials and correspondence.
  • Ability to work evenings and weekends as needed.

Preferred Qualifications:            

  • Bachelor’s degree, or equivalent combination of education and experience.
  • Project management, coordination and professional administrative experience in a higher education setting.
  • Training or experience with marketing, messaging and developing written content for public consumption.

Work Schedule:

  • The Coordinator for Academic Advising and Rollins Gateway Support is scheduled to work 7.5 hours/day, 37.5 hours per week.
  • The schedule for this role is:Monday-Friday, 8:30am and 5:00pm*
  • *Flexible schedules or overtime may be required to meet the demands of the academic calendars.

Work Environment:

  • Campus-based position working in an office environment.
  • Ability to work evenings and weekends as needed.
