The Opportunity:
Under the supervision of the manager of Administrative Operations, this position supports the front desk reception area of the UCF Human Resources Center of Expertise. The principal emphasis is on providing excellent customer service and administrative expertise. Serves as backup office contact to the Office Support Assistant for students, faculty, staff, and guests, and answers routine questions both orally and in writing. When not supporting the front desk, this position's primary focus is on project support and functional area support as assigned.
Responsibilities:
Front Desk Reception Area Support:
- Greets visitors and provides employees, faculty, and the public with information regarding programs, resources, and services.
- Answers external phone calls and directs inquiries correctly within the organization.
- Provides information for routine inquiries.
- Accepts and signs for deliveries.
- Screens, sorts, and distributes mail.
- Assists with the hiring, training, and supervision of front desk student employees.
- Assists with student worker schedules for front desk coverage.
Office Operational Support
- Ensures standard office machinery (e.g. phones, printers, copiers, and fax) is in working order.
- Supports scheduling efforts of individuals and meeting spaces.
- Assists with routine data entry requests.
- Handles the closing and opening of office/meeting spaces.
- Assists other administrative support personnel in efforts to manage the office.
- Assists with facility work orders.
- Assists with supply orders and maintaining inventory.
- Assists staff in preparing for meetings by providing handouts and note-taking required.
- Attends any training sessions (Human Resources, Teams, Workday, etc.) as applicable for enhancement of job-related skills.
Project Support
- Document management.
- Assists with facilities management.
- Assists with Human Resources website maintenance.
- Assists in mass communications/mailings (includes mass email or database reports).
- Prepares and maintains files in accordance with established guidelines and/or templates.
- Assists in outreach to external constituents, under the direction of the supervisor.
Minimum Qualifications:
High school diploma or equivalent.
Preferred Qualifications:
- Experience in higher education
- Customer service skills
- Experience in Microsoft Office applications
- Familiar with virtual meeting platforms such as Microsoft Teams or Zoom
- Skills or aptitude for developing and maintaining relationships - strong interpersonal skills
- Proven written and verbal communication skills, particularly with diverse groups including faculty, employees, and students
- Ability to work independently, as well as with self-directed teams
