The Opportunity:

UCF is seeking to fill multiple Proposal Specialist I roles. Candidates for this job posting will be considered for additional vacancies in this department. The Proposal Specialist I position provides support and assistance on the daily activities related to proposal reviews under the assigned proposal team. The position ensures compliance with sponsor requirements, university policies and procedures and applicable laws and regulations. The Proposal Specialist I will report to the Proposal Specialist III, Assistant Director or above on the pre-award daily activities.

This is a Contract and Grant (C&G) funded position. Employment is subject to availability of funding and may cease at the time funding for this employment is depleted.

Responsibilities:

  • Provide assistance with the preliminary/initial review of proposal submitted to the Office of Research for submission to sponsoring agencies. Assist in the guidance to investigators and college department research administrators on proposal requirements.

  • Provide guidance, advises, and assists program investigators and departmental administrators in the interpretation of sponsor guidelines, forms, regulations and policies related to proposal and budgetary requirements. Remains current with the Uniform Guidance and other regulations governing major issues related to research proposals.

  • Ensure that research proposals, related documents and approvals are reviewed and approved by appropriate University officials through the eRA system.

  • Coordinate with research collaborators to ensure their commitment and eligibility, and that all proposed financial documents are current, accurate and complete.

  • Ensure the adherence of established policies and procedures for submission to central office prior to proposal submission to external sponsoring agency or community partner (i.e., 5-day rule, eRA system, etc.).

  • Coordinate proposal submission with Proposal Specialist III and above within their assigned portfolio.

  • Attend relevant internal/external professional development trainings, seminars, conferences, pre-award staff meetings, etc.

  • Other duties and special projects as assigned.

Minimum Qualifications:

Bachelor's or Master's degree and 0+ years of relevant experience

Preferred Qualifications:

  • Experience in taking initiative, being diplomatic, proactive, effectively manage stressful situations.

  • Experience in work that requires organization, time management, and is detail oriented. Experience in multi-tasking and meeting deadlines effectively.

  • Strong or and written communication skills, strong analytical skills.

  • Proficient in Microsoft Office applications.

  • Demonstrate ability to participate as a member of a collaborative team.

  • Some experience in sponsored research administration, eRA systems and higher education is a plus.
