The Opportunity:

The Department of Housing and Residence Life is searching for an Administrative Coordinator II to join their team. This position is responsible for working with the Associate Director in coordinating housing conference services program, overseeing the $800,000 + operations and supervising conference staff. This position will have marketing responsibilities for the Rosen campus, including assisting with Orientations and Open Houses at the Rosen campus. This position will also act as a special ambassador/guide for campus VIPs or special housing guests. This is an Auxiliary funded position. Employment is subject to availability of funding and may cease at the time funding for this employment is depleted.

Responsibilities:

  • Coordinate all intern, non UCF scholars, and conference services logistics.

  • Establish and maintain partnerships with internal and external clients; (Ex. Athletics, FYE, Facility Operations, Housekeeping, Key Services, Residence Life)

  • Conduct site visits for prospective conference groups.

  • Complete and submit requests for bids and proposals to host conference or university initiatives.

  • Review building usage and conference assignments.

  • Oversee student staff recruitment and supervise OPS and Graduate Assistant conference staff.

  • Coordinate conference check in and out procedures.

  • Liaison with housekeeping and facilities.

  • Coordinate conference staff training.

  • Work with marketing leadership and coordinate Rosen marketing efforts, including Open Houses and Orientations.

  • Assist the Housing marketing team when needed.

  • Conduct special VIP tours for Housing.

Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience.

Preferred Qualifications:

  • Prior experience with public speaking.

  • Prior experience with event planning.

  • Prior experience with camps or group events.

  • Prior experience with group/housing management software such as StarRez.

  • Prior experience with invoicing/billing.

  • Prior experience with virtual events and livestreaming.

  • Excellent writing skills.

  • Some housing experience.

  • Excellent organizational skills.
