Position Overview:
The Director of Signature Events & Initiatives is responsible for the planning and execution of key signature events that enhance member engagement and promote the mission of the chamber. This role involves collaborating with volunteer committees, managing event logistics, and overseeing the Events and Marketing Coordinator and Business Development Associates. Oversees event budgets and financials, improving member retention and engagement, and driving business development efforts. The ideal candidate will possess strong leadership abilities, exceptional organizational skills, and a passion for creating meaningful experiences that resonate with our members. The candidate is a self-starter with strong organizational skills and a passion for community engagement.
Key Responsibilities:
Signature Event Planning & Management: Lead the planning and execution of signature events, including Feast in the East, Business Expo, Bravatto Awards & Performing Arts Showcase, ConnectHer Conference, Local Charities Luncheon and Advocacy Events. Develop and implement event strategies and timelines ensuring priorities are met and resources are optimally utilized. Collaborate with volunteer committee members to ensure successful event outcomes. Coordinate logistics including venue selection, catering, transportation, audiovisual requirements, and event marketing materials. Oversee on-site management with chairperson(s) for events including staff coordination, volunteer, and vendor management, ensuring execution excellence and attendee satisfaction. Encourage innovative ideas and applications for event design and execution.
Budgeting & Financial Oversight: Develop and manage event budgets, ensuring cost-effective planning and execution. Analyze past event budgets and performance to inform future financial planning and decision-making. Oversee invoicing and collections related to event sponsorships and other financial aspects. Generate financial reports and metrics evaluating event profitability and return on investment (ROI)
Member Retention & Engagement: Develop targeted engagement strategies to enhance member retention and participation in signature events. Implement strategies for member retention, including reporting on membership metrics. Collaborate with the Business Development Associates, Ambassador Chair, and Ambassadors to ensure an integrated approach to member outreach to foster member relationships. Communication with members regarding their benefits. Manage membership renewals including invoicing and collections of annual dues and contacting past due members regarding their status. Facilitate meaningful interactions at events that connect members, stakeholders, and the community.
Team Leadership & Management: Supervise, mentor, coach, and provide development support to the Events and Marketing Coordinator and Business Development Associates fostering a collaborative and high-performance culture. Coordinate with employee and volunteer teams to achieve event goals.
Business Development: Identify sponsorship opportunities and collaboratively cultivate relationships with potential sponsors and partners to support signature initiatives. Sustain and enhance relationships with existing sponsors to promote continued engagement and investment in events. Manage sponsorship campaigns, including the TRC campaign, to enhance funding and support for Chamber initiatives. Secure unfilled sponsorship opportunities. Perform market analysis to stay ahead of trends and ensure relevance in event offerings. Reporting & Analysis: Working with committee volunteers, prepare comprehensive post-event reports that highlight successes, areas for improvement, and quantified impacts; present findings to executive leadership. Implement continuous improvement practices based on data analysis and feedback. Prepare monthly reports on membership retention, event success with financial performance for the President/CEO.
Qualifications:
Bachelor’s degree in Event Management, Marketing, Business Administration, or related field. Previous management experience, preferably in event planning with Chambers or non-profit organizations. Demonstrated ability in team leadership, project coordination, and volunteer collaboration. Proficient in budget management, financial analysis, and reporting. Proficiency in Microsoft Suite, CRM software and data analysis tools is a plus. Experience with marketing software and tools. Strong understanding of member engagement strategies and business development. Exceptional communication and interpersonal skills, both written and verbal. Detail-oriented and highly organized with the ability to multitask effectively. Self-motivated with strong follow-up skills and a proactive approach to problem-solving.
