Patient Care Team Float

 

POSITION: Team Float

SCHEDULE: Monday through Friday, generally 8am-5pm; however, hours may vary based on the needs of the business.

RESPONSIBLE TO: Physician Team Supervisor

JOB SUMMARY: Handle and process all patient incoming inquiries.  Organize and process incoming mail and faxes.  Verify new patient insurance.  Coordinate surgery with surgery center when needed. 

 

EDUCATIONAL REQUIREMENTS:

  • High school diploma required
  • Advanced Degree or Certification preferred

QUALIFICATIONS AND EXPERIENCE:

  • Two plus years of work experience in a physician practice required
  • Proficient using email and word processing software
  • Knowledge of practice management and electronic health record software
  • Ability to perform multiple and diverse tasks simultaneously
  • Neat, professional appearance
  • Strong written and verbal communication skills and cheerful attitude
  • Able to handle staff questions, problems, and resolve conflicts
  • Ability to perform well in stressful situations

Responsibilities include, but are not limited to, the following:

Clinical Support

  • Involves travel to any one of the company’s office locations during the course of the work day.  Employee must adhere to the requirements outlined in the Vehicle Use and Mileage Reimbursement policies.
  • Assists MA in greeting patient and escorting them from the waiting room to exam room as needed
  • Checks out patient; schedules follow-up appointment and any ancillary appointments
  • Discusses surgery with surgical candidates; determine potential date of surgery, set up medical clearance if required, prepare surgery packet

Surgery Scheduling Duties

  • Receives orders from ordering physicians and
  • Explains estimates to the patient and collects payments for surgery
  • Maintains communication among the Patient Care Coordinator, patient and hospital at all times
  • Discusses pre-operative instructions with the patient, as directed by physician
  • Schedules operating room time, according to physician scheduling protocols; faxes H&P to hospital admitting department
  • Schedules all appropriate pre-operative tests and blood work
  • Coordinates all business and clinical paperwork prior to surgery, using physician-approved forms and checklists; has paperwork ready for surgeon prior to the day of surgery
  • Follow-up with patient after surgery

General Patient Care

  • Responsible for all incoming physician calls (ie: doctor to doctor, vendor, personal, etc)
  • Responsible for all incoming patient telephone calls; ensures action taken is document appropriately in the patient chart
  • Responsible for all incoming inquiries, both written and verbal, from patients, health insurance carriers, work comp carriers, etc.
  • Directs written and telephone inquiries to Patient Care Team in a timely manner when unable to assist the person requesting information.
  • Maintains communication among the physician, Patient Care Team and patient at all times
  • Processes correspondence related to the physician’s practice (ie: disability forms, FLMA forms, contributing cause letters, etc.)
  • Assists the Patient Care Team with routine follow up calls to patients regarding surgery, new appointments, etc.
  • Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice
  • Reviews physician schedule at least 48 hours in advance of scheduled appointment to ensure appropriate scheduling
  • Manages all routine follow up calls to patients regarding surgery, new appointments, etc.

General Administration

  • Maintains detailed knowledge of practice management, electronic health record and other computer software as it relates to job functions
  • Maintain knowledge of practice protocols related to the Patient Care Teams

                             

  • Participate in continuing education courses as requested
    • Attends all regular staff meetings
  • Completes all other duties as assigned by the Physician Team Supervisor
  • Performs all other tasks requested by the physicians
  • Manage work load in an effort to minimize overtime hours

Supervisory Responsibilities

This job has no supervisory responsibilities.

Typical Physical Demands

Position requires extended sitting, some standing, bending, stooping, and stretching.  Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment is also required.  Employee must have normal range of hearing and eyesight to record, prepare, and communicate appropriate reports.  Employee will work under stressful conditions, and work irregular hours.  Position requires occasional travel.

Typical Working Conditions

Normal office environment.  Occasional evening or weekend work.
