Spine Team Supervisor

 

POSITION: Spine Team Supervisor

RESPONSIBLE TO: Physician Team Manager

JOB SUMMARY: Responsible for overseeing the Spine Teams day to day tasks and ensuring their work is performed as assigned.  Responsibilities include performing staff job responsibilities, monitoring staff assignments, training new staff, and taking an active part in the hiring, disciplining, and terminating processes while maintaining a professional, pleasant work environment.  Work with the Marketing Director to develop and implement new spine business.

 

EDUCATIONAL REQUIREMENTS:

  • High school diploma required
  • College degree preferred

    QUALIFICATIONS AND EXPERIENCE:

  • Three to five years of work experience in a medical office environment
  • Two or more years of supervisory experience
  • Surgery scheduling experience preferred
  • Knowledge of practice management and electronic health record software
  • Ability to perform multiple and diverse tasks simultaneously
  • Professional image (dress, manner, tone, attitude)
  • Strong written and verbal communication skills
  • Strong customer service skills
  • Proven ability to handle problems and resolve conflict
  • Comfortable performing quantitative and analytical duties
  • Ability to perform well in stressful situations and maintain composure in open environments
  • Efficient, organized, follows through on commitments
  • Proficient using email and word processing software

    Responsibilities include, but are not limited to, the following:

    Clinical / Office Support

  • Manage Spine Team schedules; ensure posts are filled at all times.
  • Regularly monitor staff work to ensure responsibilities are being completed within the required timeframe and level of quality.
  • Perform Spine Patient Care Coordinator, Spine Team Lead and Spine Patient Care Assistant duties as needed.
  • Process and communicate physician scheduling changes (ie: bump lists).
  • Assist in the development, maintenance and enforcement of protocols associated with the Spine Teams.
  • Cross train staff when applicable; assign or reassign tasks among staff to ensure even distribution of duties.
  • Respond to software/equipment issues/malfunctions by troubleshooting and escalating to the Information Systems Department for resolution as needed.
  • Respond to customer complaints and escalate to Physician Team Manager when necessary.
  • Work with Marketing Director to develop and implement new spine business.

General Patient Care

  • Address and handle all patient complaints with respect to the Spine Teams.
  • Assist with, respond and resolve escalated complaints and negative reviews with respect to the Spine Teams.
  • Manage and assist Spine Teams with all incoming patient telephone calls; ensure action taken is documented appropriately in the patient chart.
  • Maintain patient confidentiality; comply with HIPAA and compliance guidelines established by the practice.

    Personnel

  • Assist Physician Team Manager with recruiting new staff.
  • Maintain communication among the Spine Providers and Spine Teams at all times and Physician Team Manager at all times.
  • Manage and analyze Spine Team resources to ensure efficient utilization of all Spine Team members.
  • Train new Patient Care Coordinators in all responsibilities; retrain existing staff when deficiencies are identified. 
  • Ensure Patient Care Assistants are adequately trained; retrain existing staff when deficiencies are identified. 
  • Assist with conflict resolution involving members of the Spine Teams.
  • Manage time off requests and provide appropriate coverage.
  • Maintain performance logs and employee files on all staff.
  • Identify and document disciplinary issues and discuss with Physician Team Manager for timely resolution.
  • Prepare performance evaluations for review by Physician Team Manager.
  • Regularly review staff time records adjusting punches and entering absences as needed; verify time records prior to submitting for payroll.
  • Maintain communication amongst other departments, supervisors and management. 

    General Administration

  • Maintain an adequate inventory of office supplies.
  • Maintain detailed knowledge of practice management, electronic health record and other computer software as it relates to job functions.
  • Attend continuing education courses as requested.
  • Complete all other duties as assigned by the Physician Team Manager.
  • Conduct regular Spine Team meetings to communicate new ideas, resolve problems, obtain feedback, and maintain overall effectiveness of the Spine Teams.
  • Maintain ASC / Hospital relations by acting as liaison between the Spine Teams and surgery facilities, update paperwork as needed.
  • Motivate staff to perform at their best to deliver superior customer service.
  • Maintain Physician Preference sheets; review changes with Physician Team Manager.

    Typical Physical Demands

    Position requires extended sitting, some standing, bending, stooping, and stretching.  Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment is also required.  Employee must have normal range of hearing and eyesight to record, prepare, and communicate appropriate reports.  Employee will work under stressful conditions, and  work irregular hours.  Occasional travel to the branch offices and outside facilities.

    Normal office environment.  Occasional evening or weekend work.
