POSITION: Customer Service Representative

RESPONSIBLE TO: Director of Business Development and Marketing

JOB SUMMARY:  Responsible for answering phones, processing release of information (ROI) requests, faxing DWC-25s, and scheduling new and new complaint appointments for work related injuries from OOC Worker’s Compensation (WC) customers.  

EDUCATIONAL REQUIREMENTS:

  • High school diploma required
  • Associates or Bachelor’s Degree (preferred)

QUALIFICATIONS AND EXPERIENCE:

  • 1 to 3 years of experience with the Worker’s Compensation system
  • 1 to 3 years of release of information experience
  • 1 to 3 years of experience in the healthcare office setting
  • Proficient using email and word processing software
  • Knowledge of electronic health record software
  • Ability to perform multiple and diverse tasks simultaneously
  • Strong written and verbal communication skills and cheerful attitude

Responsibilities include, but are not limited to, the following:

  • Answer incoming calls within 2-3 rings and return messages within 24 hours and responds to voicemails within 24 hours
  • Assist WC adjusters and case managers with their records request (processing requests within 1-2 business days of receipt from when the requested records are available)
  • Fax office notes and DWC-25 forms to WC within 24 hours of becoming available
  • Schedule patient appointments:  explains to adjusters/assistants or case manager  which pieces of information the patient is  to bring to their office visit, follows physician-approved scheduling guidelines
  • Handle WC-related complaints/concerns with a professional attitude

Additional support tasks

  • Perform general office duties such as typing, operating office machines, and sorting records
  • Manage messages/emails, processing requests in order of their priority
  • Process patients and other providers records requests as necessary to help team
  • Act as a backup to WC scheduling coworkers as needed
  • Any other task assigned by the Director of Business Development and Marketing

Supervisory Responsibilities

This job has no supervisory responsibilities.

Typical Physical Demands

Position requires sitting, walking, lifting, pulling, pushing approximately up to 30-35 pounds. Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, and other office equipment is also required.  Employee must have normal range of hearing and eyesight to record, prepare, and communicate appropriate reports. Employee must be in good physical condition to be able to lift boxes and push cart full of charts to different locations.  Employee will work under stressful conditions.

Normal office environment.  Occasional evening or weekend work.
