Responsibilities

The Academic Program Specialist plays an integral role in supporting the academic mission of the department by coordinating course scheduling, registration processes, and ongoing enrollment management. This position works closely with the Department Chair to build semester course schedules, monitor faculty compliance with textbook requirements, and ensure all syllabi and grades are submitted on time. The Academic Program Specialist also serves as a key resource for students, providing assistance with registration issues, waitlists, Drop/Add, and general course related inquiries.

In addition to academic operations, the Academic Program Specialist supports a range of faculty processes, including managing AOR approvals, assisting with annual reviews, coordinating FACET responsibilities, supporting faculty hiring, and arranging guest travel. The role also provides administrative support for department meetings, committees, and curriculum discussions.

As the department's primary ambassador, the Academic Program Specialist greets and assists students and visitors, promotes departmental programs, supports student focused events and guest speaker engagements, and contributes to news and promotional materials. Additional responsibilities include hiring and supervising student workers, managing suite and mailroom operations in partnership with other program specialists, and ensuring consistent coverage and smooth daily functioning of the department office.

Qualifications

Bachelor's degree and two years of experience; or a high school diploma/equivalent and six years of relevant experience. (Note: a combination of post high school education and experience equal to six years.)
