Job Description:
This position provides essential administrative support to the Acute Care Surgery (ACS) Division, with primary responsibility to the Burn Service. Serves as the primary administrative contact for the Burn Division, faculty, and fellows. This role coordinates meetings, manages schedules, support financial operations, and assists with educational and compliance activities. This position requires strong organizational skills, attention to detail, the ability to prioritize tasks, the ability to adjust priorities based on urgency, and initiative to complete tasks in a dynamic environment.

Key Responsibilities Include, but are not limited to:

  • Coordinate meetings, prepare agendas, take minutes, and manage audiovisual needs.
  • Maintain call schedules and update clinical assignments in hospital and divisional systems.
  • Organize weekly educational lectures and distribute related materials.
  • Monitor budgets, track and process expenses, and assist with financial reporting and reimbursements.
  • Facilitate approved travel and ensure required documentation is submitted in a timely manner in accordance with UF protocols.
  • Support recruitment efforts and guest speaker visits, including itineraries and reimbursements.
  • Maintain faculty records (CVs, licenses), calendars, and other divisional documentation.
  • Assist with OPPE and FPPE submissions, site visits, and compliance tracking.
  • Function as ancillary contact for Trauma and Critical Care divisions, and provide backup administrative support, as needed.
  • Exercise discretion and independent judgment in communication and task management.

Expected Salary:$23.00- $25.00 Hour

Required Qualifications:
Bachelor's degree; or an equivalent combination of education and relevant experience.

Preferred:

Knowledge of principles and techniques of effective written and verbal communication.

Knowledge of general office procedures and practices.

Excellent organizational and time-management skills.
