JOB SUMMARY:
- Responsible for creating ongoing rotation schedules for various shipboard positions while considering business areas forecasted budgets and staffing levels.
- Ensures rotation and scheduling process for NCLA ship is administered in a timely and cost-effective manner.
- Monitors and evaluates requests that fall outside of established rotations and/or employment contracts and makes fair, consistent and cost-effective accommodations when possible..
- Prepare crew rotation schedules by assigning medically cleared, newly hired and returning crew members to ship assignments.
- Schedule Non-Resident Alien Crew (NRAC) as needed, ensuring compliance with regulated percentage limits.
- Ensure scheduled crew compliance with Coast Guard documentation requirements, including MC, MMC, TWIC, and NRAC.
- Review and schedule logical assignments based on ship itineraries, budgeted manning levels, gender for cabin accommodations, and nationality/language for guest services.
- Ensure all active crew members are given a return date and ship assignment prior to their sign-off date.
- Proactively plan each schedule to ensure adequate staffing levels in all areas.
- Respond to emails and queries from the team, crew, shipboard, and shoreside staff accordingly.
- Resolve challenges related to employment contract extensions, changes, vacations, medical leave, and specific ship assignments.
- Review budgeted vs. actual manning levels on an ongoing basis to identify variances in staffing levels.
- Provide justification for staffing shortages/overages and make scheduling adjustments to minimize variances.
- Assess onboard staffing requirements for specific positions against the available candidate pool and provide the recruitment team with job requisitions for future openings.
- Update MAPS with crew movement information such as medical sign-offs, resignations, and terminations, assigning replacements as necessary.
- Ensure crew/officer records are closed timely and accurately, with the correct leave reason.
- Perform other job-related functions as assigned..
DEGREE TYPE:
- High School Diploma.
- 1 year business/administrative experience and working with large crew movement is required.
2 years scheduling experience or/and previous cruise line experience preferred..
- Basic proficiency in Microsoft Office Suite, with emphasis on Outlook, Word, and Excel for developing correspondence, emails, and creating/modifying reports.
- Knowledge of or ability to learn US Coast Guard requirements.
- Knowledge of or ability to learn MAPS systems for navigating and updating information.
- Excellent English written and verbal communication skills for effective interaction with crew/officers, hiring partners, port agents, the HR Director, HR Operations Manager, and onboard/shore side team members.
- Exceptional organizational skills to meet multiple deadlines in a fast-paced environment.
- Detail-oriented to accurately enter data in MAPS, develop rotation schedules, and make appropriate scheduling adjustments.
- Knowledge of or ability to understand CBAs (Collective Bargaining Agreements), Union Agreements, and all contracts and terms of employment for crew and officers.
- Strong interpersonal skills for teamwork.
- Organizational and time management skills for independent work.
- Knowledge of or ability to learn shipboard structure and terminology.
- Decision-making skills to evaluate requests fairly, consistently, and cost-effectively, in the best interest of the company..
